Equans, a leading provider of technical services across Australia & New Zealand, and globally, is on the lookout for an enthusiastic Business Administration Trainee to join our multi-technical services team in Sydney's CBD.

What You Will Be Doing
- Each day you will be liaising with suppliers, contractors, customers, and technicians.
- As you deal with our suppliers, contractors, customers, and technicians you will be providing exceptional customer service.
This role is highly process driven and some of the daily duties include:
Allocating work and scheduling technicians.
- Work within customer portals to manage workflow.
- Invoicing (start to finish)
- Processing purchase orders
Ordering or parts required for technician jobs.
Providing administrative support to the Operations Manager.
- Maintaining customer service documentation.
- Follow up on any outstanding work and invoices.
- Assist Equans management with asset management and reporting.
A Typical Day Looks Like
- Work orders will have come in overnight, – triage the work orders in order of urgency to appropriately allocate to technicians.
- Raise work order using the client portal system and convert the work order into Pronto & Click.
- Schedule a technician to the job.
- Once technician has the job and is on the client site, they will likely ask you to order parts required to complete job.
- Often the client will require a quote for parts and the tech will contact the admin team with the request – so you will need to produce the quote.
- Once client approves the quote, you will order parts and schedule the tech to complete the job.
- Once the job is completed, you will invoice the client and upload completed documentation to the client portal.
- Each day brings new challenges, and opportunities for providing excellent customer service.

What You Need
- An enthusiastic attitude with a willingness to learn
- The ability to pick new skills/tasks.
- The ability to keep up a consistent pace and be able to switch tasks when urgent work needs to be prioritised.
- Strong verbal skill required as phone interaction is a consistent part of the day.
- The ability to communicate with clients, colleagues, and technicians in a clear and confident manner.
- Robust written communication skills – for email communications, production of quotes and invoices.
- A confident and initiative-taking temperament.
- The confidence and ability to ask for help or escalate queries when required.
- Strong spreadsheet/excel skills and ability to maintain detailed records.
- Openness to learn how to use multiple new computer systems/programs.
- Intermediate to advanced computer & MS Office skills.
