We are seeking an experienced and detail-oriented Organisation and Methods Analyst to join our team. We are looking for someone highly motivated, organised, and proactive, who thrives in improving systems and processes. The ideal candidate will be responsible for analysing organisational operations, identifying areas for improvement, and implementing efficient solutions across departments, including finance, CRM, marketing, and customer support.

Responsibilities:

  • Analyse current business systems (Xero, Zoho CRM, PayPal) and recommend process improvements
  • Monitor financial transactions daily and reconcile accounts within Xero
  • Ensure automated invoice reminders and recurring payment systems are functioning correctly
  • Audit CRM (Zoho) data and ensure accurate customer records before issuing invoices
  • Coordinate weekly campaigns and plan content for new releases
  • Assist in managing and improving physical product workflows
  • Provide customer support via phone and email including password resets and platform usage training
  • Identify operational issues and work with software vendors to resolve them
  • Document workflows and develop standard operating procedures (SOPs) for internal processes
  • Support the setup and refinement of internal systems for accounts, campaigns, customer service, and product delivery

Key Tasks and Reporting Duties:

  • Prepare and present weekly and monthly operational performance reports to management, highlighting key metrics, process bottlenecks, and improvement opportunities
  • Analyse and report on financial trends, recurring billing issues, and customer payment behaviours using Xero and PayPal data
  • Develop and maintain dashboards and KPI tracking tools to support data-driven decision-making across departments
  • Create post-campaign performance summaries for digital bulletins, assessing engagement rates, delivery performance, and content effectiveness
  • Conduct monthly CRM data audits to identify inconsistencies, duplicates, or incomplete records, and generate data integrity reports
  • Compile and deliver customer support analytics (e.g., inquiry volume, resolution time, and satisfaction trends) to assess service efficiency
  • Assist in generating product lifecycle reports, from production to dispatch, to optimise inventory and distribution workflows
  • Work with department heads to create process maps and identify measurable outcomes for workflow optimisations
  • Maintain a centralised SOP repository, track updates, and ensure version control across all documented procedures
  • Collaborate with external vendors (e.g., Zoho or Xero support) to resolve system issues and document outcomes for internal knowledge-sharing

Requirements:

  • A qualification in Business Administration, Systems Analysis, or a related field
  • Minimum 2–3 years of relevant work experience in business operations, system analysis, or process improvement
  • Experience with business tools including Xero, Zoho CRM, and PayPal
  • Advanced proficiency in MS Office, particularly Excel and Word
  • Strong communication skills in both English and Portuguese
  • Must be an Australian or New Zealand Permanent Resident
