Advisor Governance and Secretariat (12-Month Maternity Leave Contract)

We are seeking a highly experienced, detail-oriented, and self-managed Advisor Governance and Secretariat to provide high-level executive co-ordination and support to the Company Secretary & Strategic Advisor and the Group CEO.

This critical role sits within the Group Executive function and ensures the timely, efficient, and effective operation of the Group's national and international governance, compliance, and company secretarial duties.

What You'll Be Doing: Key Responsibilities

You will be the vital link ensuring smooth corporate administration, legal compliance, and effective communication at the highest levels of the organisation. Your duties will include:

  • Executive and Board Support: Coordinating and preparing for Executive and Board meetings, including arranging venues & catering, preparing detailed agendas, compiling meeting minutes and resolutions, and tracking actions. Organising travel where necessary.
  • Administrative Management: Managing the Group CEO's calendar, travel, and complex national/international correspondence, ensuring timely and effective follow-up.
  • Governance & Compliance: Assisting the Company Secretary with meeting legal and statutory obligations under various domestic and international regulatory authorities (including ACNC/ASIC/Corporations Act requirements). This includes managing company registers, statutory records, and intellectual property.
  • Research & Reporting: Undertaking research, reviewing, summarising, and assisting in the preparation of high-level management reports, documents, and presentations for the Board and Executives.

Essential Criteria

  • A minimum of two years' experience providing high-level executive assistance and support.
  • Demonstrated experience in Company Secretarial duties, company governance, and intellectual property matters.
  • Exceptional attention to detail and a highly organised, self-managed approach to work.
  • Proven ability to work discreetly with sensitive and confidential information.
  • Outstanding written and verbal communication skills, with demonstrated ability to capture accurate information in a concise format.
  • Strong planning and project management skills, including the capacity to manage competing priorities
  • Have full Australian working rights
  • Hold a full Australian driver's license
  • Be willing to obtain a National Police Check
  • Be able to pass a Working with Children Check

Desirable Attributes

  • Governance qualification or certification from the Governance Institute of Australia and/or the Australian Institute of Company Directors or equivalent.
  • Qualified professional membership of the Governance Institute of Australia.
  • Relevant Tertiary qualifications.
  • Prior experience working in the Not-for-Profit sector (a strong interest is essential).
  • Ability and willingness to be flexible with working hours, sometimes at short notice.
