St Margaret Mary's College, Hyde Parkis a Townsville Girls Catholic College, founded in 1963 by the Sisters of the Good Samaritan. About the role
St Margaret Mary's College, Hyde Park is seeking an experienced and dedicated Executive Assistant to the Principal to commence on Monday 1 September 2025 or as soon as practical.This is a Term Time, Permanent positionworking 32.5 hours per week 6.5hrs/day.
The role of Executive Assistant to the Principal is to contribute to the provision of a quality educational service by providing efficient and high quality secretarial and administrative support services to the Principal and work as part of a busy team to ensure the efficiency of the Administration of the College.
Key Accountabilities
The duties of the Administrative Assistant to Principal may include but are not limited to the following tasks. Other relevant duties may be required provided that such duties are appropriate having due regard to the nature and purpose of the position.
- Carry out a wide range of clerical duties at an advanced level, including but not limited to: opening & distributing incoming mail and email, answering phones, typing and data entry and maintenance of Principal's filing system.
- Manage the Principal's diary and scheduling of appointments with staff, students parents and the general public, within established routines and procedures
- Respond to enquiries from staff, students, parents and the general public and address issues in accordance within established routines and procedures.
- Support Business Manager with various processes, including staff onboarding, linking volunteer Blue Cards and coordinating completion of Volunteer Inductions
- Prepare agenda and minutes for meetings within established routines and procedures, including Staff, Board & Consultative Committee meetings
- Provide administrative assistance to senior leadership team and teachers as required, including assistance to Business Manager with key register, staff files and gifts for staff leaving
- Coordinate & oversee arrangements for designated College functions & events, including issuing invitations, sponsorship requests, arranging catering, printing Awards certificates and ordering gifts
- Assist with relief on Front Reception when required
- Coordinate travel bookings for staff PD and student tours and arrange bookings for staff PD external courses
- Manage staff and student notices
- Work closely with Enrolments officer to supervise Enrolments process
- Prepare College variations in Compass Events (Arts, Cultural, Academic)
- Other duties that may be required from time to time.

- Fulfil your legal and moral duty of care by ensuring the safety and wellbeing of all students. Comply with mandatory reporting obligations under the Education (General Provisions) Act 2006 and the Child Protection Act 1999 and follow TCE's Student Protection Processes and Guidelines.
About you
Experience & Skills
- Demonstrated experience with the provision of focussed and professional administrative, and secretariat support at a high level
- Previous experience handling enquiries and responding with professionalism and sensitivity to requests for information and complaint management
- Previous experience displaying professional and effective interpersonal, communication and liaison skills with both internal and external stakeholders
- Experienced user in Microsoft Office applications (particularly Excel and Word), Google applications and database administration.
- Conference and event organisation and associated protocols including catering and travel logistics
- Knowledge and ability to operate with a high degree of discretion and confidentiality in the performance of all duties.

Mandatory Requirements
- Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
- Certificate Business Administration or Office Studies or equivalent relevant experience and / or education / training
- Current Driver's Licence
- Ability to travel from time to time within the Catholic Diocese of Townsville
- Ability to perform the physical requirements of the role in a safe manner.
- Current paid Working with Children Blue Card (or ability to obtain prior to commencement, per No Card, No Start legislation)
- Current driver's licence
- Willingness and capacity to travel within the Diocese, as required
- Physically capable of performing the role safely
Desirable
- Previous experience in the education field would be considered advantageous.
