We have an exciting opportunity for an experienced and motivated Roster Administrator – Centralised Rostering to join our team based at our Air Force Memorial Estate in Bull Creek. Working closely with our Roster Coordinators, this role provides vital administration to the team by assisting with the day-to-day management of staff rosters, processing timesheets, assisting with invoice reconciliation and responding to rostering-related queries. As the Roster Administrator, this role is essential in supporting the delivery of high-quality aged care services by helping to maintain consistent and appropriate staffing level across our five Residential Aged Care Facilities from a centralised scheduling hub.
Operational Hours are between 07:00AM – 01:00PM, Monday to Friday.

Key Responsibilities:
- Monitoring the rostering inbox and responding promptly to staff and management queries regarding shift allocations, availability, leave and rostering issues.
- Answering incoming call related to rostering and general workforce queries in a timely manner.
- Escalate urgent or complex rostering issues to the Roster Coordinators or Roster Manager.
- Support the Roster Coordinators in the preparation and maintenance of daily and fortnightly staff rosters.
- Maintain accurate records and assist with audits and reporting as required.
- Collate and verify staff timesheets to ensure accuracy for payroll processing.
- Manage documents and employees electronic personnel files such as contracts of employment, onboarding paperwork and Local Induction Workbooks.
- Assist Roster Coordinators in coordinating processes to induct new employees.
- Manage uniform orders for new and existing staff, maintaining stock levels, reordering as required, coordinating distributions and returns.
- Prepare and reconcile agency invoices.
- Complete other duties as directed by the Roster Manager.
What you bring:
- Experience in rostering with a good understanding of workforce management principles and rostering practices
- Knowledge of relevant industrial awards, enterprise agreements, and labour law.
- Demonstrated computer literacy in word processing, excel spread sheets, calendar management and experience using a rostering tool Optima (or similar).
- Demonstrated administration experience with a high level of attention to detail.
- Demonstrated excellent written and verbal communication skills.
- Highly organised with the ability to multitask.
- Ability to work independently and problem solve issues related to any part of the role.
- Demonstrated confidential approach to managing employees' information.
- A passion for working in Aged Care and genuine care and respect for older people.
