Face to Face Orthodontics is a growing specialist practice offering high-quality, personalised orthodontic care in a modern and welcoming environment. We are currently seeking a professional, detail-oriented Treatment Coordinator to join our team 2 days per week, with the potential for more days and to grow alongside the practice.


About the Role:

This is a key position where your communication and coordination skills will directly influence the patient experience. As our Treatment Coordinator, you'll guide new patients through the initial stages of their orthodontic journey, liaise with referring dentists, and ensure all documentation and correspondence is accurate, timely, and professional.


Key Responsibilities:
  • Welcome and support new patients during their initial consultation and treatment planning
  • Support the orthodontist during patient consultations with excellent note taking and high attention to detail
  • Clearly and professionally explain treatment options, financials, and scheduling
  • Draft and manage formal correspondence for the orthodontist, including letters to referring dentists and follow-up communications with patients
  • Ensure all written and verbal communication reflects the high standards of the practice
  • Coordinate appointments and monitor patient follow-ups to maintain smooth treatment progression
  • Maintain accurate patient records and digital documentation using practice software (TOPS Ortho)
  • Collaborate closely with the orthodontist and clinical team to support a seamless patient experience

About You:
  • Demonstrate high attention to detail in written and verbal communication
  • Polished, professional, and confident in liaising with both patients and dental professionals
  • Strong organisational skills with the ability to multitask and prioritise efficiently
  • Prior experience in dental, orthodontic, or medical administration preferred
  • Experience with TOPS Ortho software or being tech-savvy is highly desirable
  • Proactive, team-oriented, and enthusiastic about contributing to a growing practice
  • Brings a positive, can-do attitude and contributes to a warm and supportive team culture
