Job Summary:

We are seeking a highly organised and detail-oriented Administrative Assistant to support our operations by managing invoicing, inventory control, and logistics coordination. The ideal candidate will have experience in administrative processes, financial documentation, and supply chain coordination, ensuring efficiency across various business functions.

Key Responsibilities:Invoicing & Financial Administration

  • Generate, review, and process invoices accurately and timely

  • Maintain financial records and ensure compliance with company procedures

  • Reconcile invoices with purchase orders and resolve discrepancies

  • Communicate with customers and vendors regarding invoicing inquiries

  • Assist with expense tracking and financial reporting

Inventory Management

  • Monitor stock levels and ensure accurate inventory records

  • Process purchase orders and coordinate restocking as needed

  • Conduct regular audits to verify stock accuracy and minimize discrepancies

  • Maintain inventory databases and update product details

Logistics Coordination

  • Arrange and track shipments, ensuring timely delivery of goods

  • Communicate with suppliers and transport providers to optimize logistics

  • Prepare and manage shipping documents, including customs declarations if applicable

  • Address shipping delays or issues and provide proactive solutions

  • Support warehouse operations by streamlining order processing

Qualifications & Skills:

  • Proven experience in administrative support with invoicing, inventory, and logistics responsibilities

  • Strong proficiency in financial software and Microsoft Office Suite (Excel, Word, Outlook)

  • Excellent organisational and problem-solving skills

  • Ability to multitask and prioritize duties effectively

  • Strong attention to detail and accuracy in data management

  • Effective communication skills for internal coordination and external vendor relations

  • Knowledge of inventory control systems and logistics practices is an advantage
