Property Investment Project Coordinator

We're looking for a detail-focused and highly organised Project Coordinator to support the administrative flow of our property from launch through to settlement.
This role is perfect for someone who loves structure, enjoys working within processes, and is ready to take the next step in their career within the property industry.
About the Role
As our Project Coordinator, you'll provide essential administrative and organisational support across the business. You'll help keep information up to date, track key milestones, coordinate communication, and support our teams to deliver a seamless client experience.
You'll work closely with the Research, Property and Client Services teams to ensure everything is documented accurately and managed efficiently.
What You'll Do
Project Preparation
- Collect and organise property material from developers and property sellers.
- Check documents for accuracy and completeness.
- Upload and maintain project details in the CRM.
- Assist teams with administrative tasks needed to prepare properties and projects for launch.
Contract Management
- Maintain and file contract documentation in the CRM.
- Ensure records match developer and solicitor documents.
- Track contract milestones and update internal systems.
Construction Coordination
- Monitor the construction inbox daily and action requests.
- Keep construction progress trackers updated.
- Provide timely information to Client Services for client updates.
Settlement Support
- Assist with coordinating Property Tours and preparing tour materials.
- Help with settlement night logistics and client support.
- Organise, pack and track settlement gifts.
CRM & Data Management
- Maintain accurate property and project statuses across all stages.
- Ensure documents and communications are uploaded promptly.
- Prepare basic reports when required.
General Coordination
- Provide administrative support during peak periods (launches, campaigns, settlements).
- Draft simple client communications based on project updates.
- Assist Client Services with reminder calls when needed.
About You
You're someone who enjoys being organised, accurate, and helpful — and you thrive in roles that require strong administration skills.
You will have:
- Strong attention to detail and accuracy.
- Excellent organisation and time management.
- Confident communication skills, both written and verbal.
- Good technology capability — CRM systems, Microsoft Office, OneDrive.
- A process-driven mindset and willingness to learn.
- A team-first attitude and a proactive approach.
Experience
- 1–3 years in administration, project support, coordination, or operations.
- Property or professional services exposure helpful but not essential.
- Experience with CRM or workflow systems is an advantage, not a requirement.
