Lead Administration Across Kidney and Transplant Services

We're seeking an experienced and motivated Office Manager (AO4) to lead administrative operations within the Nephrology and Transplant Services (KATS) team at Princess Alexandra Hospital. This permanent part-time role (60.8 hours per fortnight) offers an opportunity to supervise a dedicated admin team, support operational excellence, and contribute to the delivery of world-class kidney care.

Your new role:

As Office Manager, you'll coordinate and oversee day-to-day administration within Kidney and Transplant Services, ensuring effective communication, smooth operations and strong team support. You'll manage rosters, supervise administrative staff, and work closely with the Director, NUM and Administration Manager to ensure the department runs efficiently and maintains high-quality service standards.

Key responsibilities include:

  • Supervise and coordinate the administrative team to ensure consistent and high-quality service delivery.
  • Manage staff rosters, leave, performance reviews and recruitment in collaboration with the Administration Manager.
  • Provide administrative support including correspondence, data entry, filing, travel arrangements and secretariat duties.
  • Liaise with internal departments such as HR, Payroll and clinical teams to resolve staffing and operational issues.
  • Support training and development coordination for administration staff and ensure documentation is complete.
  • Maintain accurate records, update departmental databases and generate reports as required.

You'll bring:

  • Proven experience supervising administrative teams in a healthcare or complex organisational setting.
  • Strong organisational, time management and prioritisation skills with attention to accuracy and detail.
  • Excellent communication and interpersonal skills, with the ability to manage relationships across multidisciplinary teams.
  • Proficiency in Microsoft Office and hospital systems (e.g., MyHR, AVAC, and rostering systems).
  • Knowledge of HR and payroll processes, including roster management and PAD coordination.
