Position Summary

The Operations Support Coordinator / HR Support is responsible for ensuring the smooth and timely delivery of cases across all departments, while also providing day-to-day operational support and coordinating staff performance and HR-related matters. This role bridges operations and HR, ensuring workflows are efficient, teams are accountable, and any staff issues are addressed promptly and in line with company policies.

You will support Dental Technicians and management with operational coordination, while also working closely with Team Leaders to monitor staff conduct and performance, ensuring operational efficiency and team effectiveness.

Key Responsibilities

Operations

  • Monitor case workflows daily to ensure on-time delivery, identifying and resolving bottlenecks or delays with TLs/Supervisors.
  • Liaise with Team Leaders to ensure resourcing is adequate and efficient.
  • Prepare and deliver accurate case tracking reports, including any proposed changes to delivery timelines.
  • Ensure staff are equipped with the tools, knowledge, and materials needed for efficient project delivery.
  • Attend leadership meetings and ensure all action items are completed on time.
  • Coordinate general office administration, procurement, and communication with service providers.
  • Maintain and improve Standard Operating Procedures (SOPs) in collaboration with the lab team.

HR

  • Monitor staff punctuality, performance, and conduct in partnership with Team Leaders.
  • Document and escalate repeated misconduct or underperformance
  • Support Team Leaders in managing basic employee relations issues (e.g., absenteeism, miscommunication, performance gaps).
  • Help coordinate and track induction and on-the-job training for new and existing employees.
  • Assist in maintaining an up-to-date employee performance and conduct log.

Contribute to maintaining a safe, inclusive, and respectful working environment by upholding company values and HR/WHS standards.

Qualifications & Experience
  • Previous experience in operations/HR or administrative leadership role
  • Strong understanding of team management and performance protocols
  • Experience issuing formal performance documentation (e.g., performance appraisals)
  • Excellent verbal and written communication skills
  • Highly organized with attention to detail and ability to manage multiple priorities
  • Certificate IV in Business, HR, Administration, WHS or related field (preferred)
  • Experience in the dental, medical, or technical industries is desirable
  • Experience with CRM systems, lab management software, or Happy HR.
