Your New Role

Our client is seeking an Operations Assistant to join the team at Port Botany on a permanent basis. This is a hands-on role at the heart of operations, where your ability to coordinate crews, manage schedules, and respond to challenges will make a real impact. You'll work closely with the Port Manager and frontline teams to ensure vessels are resourced, supported, and operating safely and efficiently.

What You Will Be Doing

  • Acting as the main point of contact for crew regarding operational administration and support.
  • Monitoring compliance with certifications, inductions, and training requirements.
  • Coordinating onboarding for new crew, including PPE and site access documentation.
  • Managing site vehicle needs and fuel card arrangements.
  • Preparing and reviewing timesheets for accurate payroll processing.
  • Scheduling meetings, events, and site visits for staff and stakeholders.
  • Maintaining office supplies and processing purchase orders with accurate coding.

What You Need to Be Successful

  • Previous experience in administrative or operational support roles; crew scheduling experience is a plus.
  • Strong organisational skills and ability to prioritise in a fast-paced environment.
  • High attention to detail and accuracy.
  • Confidence in following operational procedures and processes.
  • Personable and approachable, with a knack for building strong relationships.
  • Solid computer literacy, including Microsoft Office; exposure to systems like Workday or Sertica is advantageous.
  • Professionalism and discretion when handling sensitive information.
  • A proactive attitude and commitment to safety and efficiency.
