About the Role:

A fantastic opportunity has arisen for a CSO/Administrator to join our team. This position is an integral part of our team as you will be supporting advisers and management to deliver exceptional client service. We are seeking a committed individual who takes pride in their work and ensures high quality of work is produced.

This position involves a mix of administrative, client service and operational responsibilities including coordinating client reviews, preparing documentation, assisting with portfolio transactions, maintaining accurate client records, managing communications and ensuring compliance across all client files and processes.

Principal Partners is a CBD-based, small (10 person) office. The role is a full-time, permanent position working 8.30am - 5pm Monday to Friday.

Key Responsibilities:

  • Provide comprehensive administrative and operational support to advisers, ensuring the smooth delivery of financial planning services.
  • Manage inbound enquiries and correspondence with clients, fund managers, insurers and other external stakeholders in a professional and timely manner.
  • Prepare monthly Funds Under Management (FUM) reports and client review packs using Wrap platforms and Visme.
  • Assist with the preparation of SOAs, onboarding documentation and compliance records within Xplan.
  • Process investment transactions, including the buying and selling of assets and monitor client portfolios for performance.
  • Prepare and distribute EOFY tax kits, insurance renewals and wholesale investor certificates.
  • Support the setting up of new client accounts across Netwealth, Macquarie and other platforms, ensuring data integrity and compliance.
  • Contribute to marketing and communications by assisting with investor updates, newsletters and client correspondence using Canva or Postcards.
  • Maintain the company's digital presence through website updates and content coordination.
  • Assist the Directors with ad hoc administrative tasks such as bookings, event coordination and office management.

  • 2+ years of experience in a professional services or client-facing role (financial planning experience highly regarded)
  • Excellent organisational and time management skills
  • Strong attention to detail and accuracy in all tasks
  • Friendly and confident communicator with great client service skills
  • Proficiency in Microsoft Office (Word, Excel, etc)
  • Professional attitude with the ability to maintain confidentiality and handle sensitive information
  • Efficient, reliable and proactive with a can-do approach
  • Experience with platforms such as Xplan, Canva, Visme, Postcards, or similar will be highly regarded
