About the Role

As Events Manager, you are responsible for the end-to-end execution of Yarra's annual sponsorship and events plan, ensuring alignment with the broader sales and marketing strategy. This includes the delivery of a diverse range of national events, such as roadshows, networking functions, client dinners, and sponsorship activations that support business development and strengthen brand presence.

You will work closely with Marketing colleagues and collaborate with the Sales and Distribution team, investment teams, product specialists, and other key stakeholders to ensure the successful delivery of a cohesive and impactful events program across the Group's capabilities. Your executional ownership and attention to detail will be instrumental in deepening stakeholder engagement and supporting strategic outcomes across Yarra's target market segments.

Key Responsibilities

  • Lead the operational planning and execution of the annual events and sponsorship calendar, ensuring alignment with the broader sales and marketing strategy.
  • Plan, coordinate, and deliver a diverse range of client-facing events, including Portfolio Manager roadshows, private client lunches/dinners, sponsorship activations, and networking functions.
  • Oversee all aspects of event logistics, including venue selection, catering, AV, branding, speaker management, guest lists, registration, and on-site delivery, ensuring seamless execution.
  • Drive the client invitation and registration process, working with Marketing and BDMs/Associates to manage invitations, set-up registration pages and automated confirmations, monitor RSVPs, update data, and set-up and monitor reminder emails.
  • Coordinate all speaker arrangements, including calendar placeholders, pre-event briefings, presentation preparation, and on-the-day support.
  • Track and manage event budgets, ensuring cost control and maximising return on investment.
  • Develop Post-Implementation Reviews (PIRs) for national events to assess performance and inform future planning.
  • Distribute post-event communication and summaries to the internal team.
  • Manage event-related printing needs, including signage, collateral, name badges, and place cards.
  • Identify synergies and cost-saving opportunities across event planning and execution to ensure effective budget management.

Cross-functional collaboration

  • Manage relationships with event partners and sponsors, aligning sponsorship opportunities with broader event and business strategy.
  • Manage internal and external stakeholder engagement, ensuring clear accountabilities, timely communication, and successful event collaboration.
  • Maintain strong relationships with clients, partners, vendors, and internal stakeholders to enhance event quality and engagement.
  • Collaborate cross-functionally with internal teams, including marketing, sales, business development, and Portfolio Managers, to drive successful event outcomes.
  • Proactively recommend, research, draft, and review event processes and procedures, whether new or existing, to identify opportunities for improvement, create operational efficiencies, and reduce risk to the organisation.

Corporate event management

  • Support internal events, such as strategy days and staff functions, as needed.

Merchandise

  • Oversee the procurement and coordination of merchandise in collaboration with the marketing team, ensuring brand consistency.
  • Manage the inventory and usage of Yarra's branded merchandise for events and client meetings.

Marketing support

  • Provide support to the marketing team where applicable, including updating quarterly activity reports, maintaining website content, and formatting PowerPoint presentations and eDMs.

Knowledge, Skills, and Experience

  • 5+ years of experience in event management, preferably within financial services or funds management.
  • Strong understanding of investment products and the funds management industry.
  • Exceptional project management skills with the ability to handle multiple events simultaneously.
  • Excellent communication and stakeholder management abilities.
  • Attention to detail ensuring event details and requirements are attended to in a timely manner.
  • Experience with event technology, CRM systems (e.g., HubSpot, Salesforce), and marketing automation tools.
  • Ability to work independently in a collaborative team environment.
