About The Role
The Dealership Administrator supports Better Motor Deals and the BMD Fleet team in managing vehicle sales, disposals, and day-to-day operations. This includes handling contracts, invoices, records, and data systems, liaising with suppliers and customers, assisting with sales handovers, and maintaining yard and fleet operations. The role ensures smooth administration across the full vehicle lifecycle while providing essential support to management and the wider business.

Key Responsibilities

  • Provide Day to Day Assistance to the Operations Manager Better Motor Deals, BMD Fleet Manager & Wider Business.
  • Establish & Maintain a Sound Working Relationship with Suppliers, Business Units & Customers
  • Carry Out and Review Reports, Repair Quotes/Orders & Invoices as Required
  • Carry out Pre-Disposal Inspections & Reports inc Ongoing Management of Documents/Photographs
  • Write up Contracts, Invoices & Documentation Associated with the Sale/Disposal of BMD Vehicles/Equipment Internally & Externally
  • Management of Invoices, Repair Orders & Purchase Orders Including Approval, Coding & Submission of Payments
  • Carry Out and Assist with Data Management, Analysis, Storage & Housekeeping
  • Assist with Vehicle Maintenance/Repair, RWC, Redeploy, Transport & Disposal
  • Assist with Sales Enquiries, Sold Vehicle Handovers & Customer Interaction
  • Assist with Management of Number Plates, Plate Orders, Plate Changes and Transfers
  • Assist with Movement of Vehicles, Equipment & Staff for Better Motor Deals & BMD Fleet
  • Work With & Attend TMR in Regard to Registration Management, Cancellations & Transfers.
  • Management & Development of DMS, AX & Other Related Electronic Systems as Required
  • Ensure Shed, Detailing Area & Yard are Maintained, Orderly, Safe, Clean & Tidy at all Times.
  • Oversight & Tasking of the Fleet/Yard Support Officer

Preferred Experience

  • Knowledge of Fleet Management & Maintenance Principles Desirable
  • Previous Experience in the Management/Sale of Motor Vehicles in a Dealership Environment Desirable
  • An understanding of Qld Transport Registration & Compliance Requirements & Systems
  • Good Level of Mechanical Knowledge & Aptitude
  • Previous Experience in the use of Fleet Management & Online Fleet Support Systems
  • A Good Working Knowledge of the Microsoft Office Suite Including Outlook, Excel & Word
  • Open Drivers Licence
