What You'll Do

  • Respond promptly and professionally to incoming calls from patients, clients, and healthcare professionals, ensuring each interaction is handled with empathy and clarity.
  • Accurately record all call details and patient information into the CRM system or similar software, maintaining up-to-date records at all times.
  • Assist callers by providing information about services, appointment scheduling, and general enquiries while respecting confidentiality and privacy requirements.
  • Collaborate closely with clinical staff and other administrative colleagues to ensure seamless communication across departments.
  • Manage high call volumes efficiently without compromising on the quality of service or attention given to each caller.
  • Handle sensitive or personal enquiries with compassion, offering reassurance and support as needed during potentially emotional conversations.
  • Perform general administrative duties such as data entry, file management, document preparation, and correspondence handling.
  • Follow established protocols for escalating urgent matters or complex queries to the appropriate team members or supervisors.
  • Contribute positively to the overall atmosphere of the office by sharing knowledge, supporting colleagues, and participating in training opportunities.
  • Continuously seek ways to improve processes related to call handling and administration for enhanced patient experience.

What You Bring

  • Demonstrated experience working within a medical centre or healthcare environment where patient care is prioritised.
  • Proven background in call centre operations with the ability to manage high volumes of inbound calls effectively.
  • Exceptional administrative abilities including accurate data entry, file management, and document handling within fast-paced settings.
  • Outstanding verbal and written communication skills that allow you to convey information clearly while showing empathy towards callers' needs.
  • A compassionate approach when dealing with sensitive or personal enquiries from patients or their families.
  • Familiarity with CRM systems or similar software platforms used for tracking interactions and managing client records.
  • Ability to collaborate well within a team environment while also taking responsibility for individual tasks.
  • Strong organisational skills that enable you to multitask efficiently without sacrificing attention to detail.
  • Commitment to maintaining confidentiality at all times when handling patient information or sensitive data.
