About the Role

As a Pre-Construction Coordinator, you'll be the bridge between sales and construction, ensuring our clients enjoy a seamless transition from contract signing to the start of their build. Your expertise in customer service and meticulous attention to detail will ensure every document is accurate and every client interaction is exceptional.

Key Responsibilities

Pre-Construction Coordination

  • Collaborate with sales, drafting, estimating, design consultants, and external partners to ensure the seamless progression of job files.

  • Manage pre-construction activities such as tenders, contracts, council permits, and site reports.

  • Possess a thorough understanding of company processes, timelines, and contract documents to independently guide clients and internal stakeholders.

Customer Service

  • Oversee a portfolio of clients in various pre-construction stages.

  • Serve as the primary point of contact, attending pre-construction meetings and providing regular updates.

  • Proactively address client queries and foster positive relationships through timely, professional communication.

Documentation & Reporting

  • Prepare accurate tenders, variations, contracts, and building specifications.

  • Maintain organised documentation in Property Pro and individual server folders.

  • Generate monthly reports outlining progress, signed contracts, and upcoming milestones.

Quality Assurance

  • Perform detailed quality checks on all documents, ensuring compliance with internal standards and external regulations.

  • Resolve discrepancies to prevent delays and maintain seamless transitions to the construction phase.

About You

  • Proven experience (minimum 2 years) in pre-construction coordination / contracts administration or a similar role in the construction industry.

  • Strong communication and interpersonal skills with a customer-focused mindset.

  • Exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.

  • Proficiency in Microsoft Word, Excel, and Outlook.

  • Familiarity with relevant building codes and regulations is highly desirable.

  • Positive attitude with a willingness to learn and adapt.

  • Proactive problem-solving and multitasking abilities.

  • A team player who values collaboration and accountability.
