Our team runs the Australian & New Zealand offices for three crystal homewares brands, and we're seeking a responsible and proactive Customer Service Coordinator to join our close-knit team.
About the Role:
The Customer Service Coordinator supports the smooth running of our retail and wholesale operations by providing outstanding customer service and administrative support.
You will be responsible for administratively managing the e-commerce side of our business. This includes before- and after-sales support for webstore customers and product maintenance for our six e-commerce stores.
You will also assist with the wholesale side of our business, including communicating and coordinating with our external Sales Team and processing wholesale orders, from order entry to invoicing and dispatch.
This role reports to our Head of Operations.
About You:
You'll be highly organised, detail-oriented, and able to manage your time effectively while working independently. You communicate clearly and professionally, with a positive and proactive approach to your work. As a small, close-knit team, we all lend a hand where needed—so flexibility, a willingness to learn, and a can-do attitude are essential.
Australian work rights are essential as visa sponsorship is not available for this position.
Your responsibilities will include, but are not limited to:
- Order Management: Process and track eCommerce orders, through all stages, on time and in line with the company's terms of trade. Liaise with our third-party warehouse to manage outward orders, collections and returns.
- Process wholesale orders, including stock and price checks, and manage invoices and claims.
- Liaise with logistics providers in tracking time-sensitive deliveries, booking couriers, delivery ETA, and providing PODs
- Webstore Maintenance: Maintain and update multiple eCommerce websites, including activating new products, managing promotional pricing and discount codes, and ensuring product information and imagery are current and accurate.
- Prior e-commerce platform experience is preferred but not essential as training will be provided.
- Customer Support: Handle inbound enquiries, assist the internal sales team, respond to emails and calls, and deliver 5-star service.
- General office support: wash and polish glassware, manage and pack sample stock, receive deliveries, greet guests, and ensure upkeep of the showroom.
- Assisting our Accounts team with queries and Month-End tasks
Essential Skills:
- Minimum 2 years' customer service experience in retail, hospitality, or a previous office role
- Proficiency with Microsoft Office (Excel, Outlook) and confidence navigating systems
- Intermediate Excel skills including formulas and data analysis are required for this role.
- The ability to manage a flexible workday, with strong attention to detail and time management skills
- Friendly phone and email manner with excellent written communication.
- A team-first attitude and a hands-on, professional approach
