What You'll Be Doing:
Office Management
· Manage daily operations at BlazeCut's Sydney office and support our global offices/staff when required.
· Oversee office supplies, inventory, and facility needs including safety and compliance items relevant to our fire suppression systems.
· Provide ad-hoc operational support to ensure smooth business flow across departments.
Administration & Finance Support
· Coordinate meetings, travel arrangements, and scheduling for the sales, technical, and leadership teams.
· Process purchase orders, invoices, and customer records;
· Support preparation of reports, quotes, and documentation for both customers and internal teams.
· Maintain an organised filing system (digital and physical) ensuring compliance with BlazeCut's standards.
People & Culture
· Support onboarding and induction of new staff with welcome packs and training schedules.
· Coordinate internal communications, policies, and procedure updates.
· Assist in planning and running staff events, training sessions, and workshops.
· Foster a collaborative, ethical and customer-focused workplace culture aligned with BlazeCut's values.
Marketing & Brand Support
· Assist with preparation of marketing materials, presentations, and product information sheets.
· Liaise with external marketing partners, designers, or suppliers to coordinate campaigns.
· Help maintain BlazeCut's CRM and customer database ensuring accurate contact and lead information.
· Contribute ideas for brand consistency, social media updates, and event coordination.
Leadership & Executive Support
· Provide administrative support to Management as required.
· Coordinate cross-team communication and reporting, ensuring projects stay on track.
· Assist with strategic initiatives such as new product launches, distributor support programs, and international projects.
What We're Looking For:
- Proven experience in an administrative or office coordinator role (2+ years preferred).
- Excellent verbal and written communication skills.
- Strong organisational abilities
- Attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience in Oracle NetSuite would be advantageous.
- A proactive, self-motivated attitude with the ability to work both independently and as part of a team.
- A customer-focused mindset and willingness to take initiative.
- Full working rights in Australia.
