Role Description
As a Project Specialist, you will play a key role in supporting the planning, coordination, and execution of projects to ensure successful delivery within scope, budget, and timeline. You will assist project managers and cross-functional teams in organizing resources, tracking progress, managing documentation, and maintaining communication among stakeholders. This role requires excellent organizational skills, attention to detail, and the ability to adapt to evolving project needs. You will contribute to process improvement, project reporting, and quality assurance to enhance overall project performance. The ideal candidate is proactive, analytical, and highly collaborative, with a passion for driving projects toward successful completion.
Key Responsibilities
- Support the planning, scheduling, and coordination of project activities and deliverables.
- Track project milestones, timelines, budgets, and resources to ensure progress and compliance with objectives.
- Maintain accurate project documentation, including plans, reports, meeting notes, and change requests.
- Coordinate communication between project managers, team members, and stakeholders.
- Assist with data collection, status reporting, and performance analysis for ongoing projects.
- Identify and escalate potential risks, issues, or delays to ensure timely resolution.
- Contribute to process improvement initiatives by evaluating workflows and recommending efficiencies.
- Support procurement, vendor coordination, and administrative tasks related to project operations.
- Ensure adherence to organizational standards, governance frameworks, and compliance requirements.
- Prepare and deliver presentations, progress updates, and summaries for management and project teams.
Qualifications
- Strong understanding of project management principles, methodologies, and tools.
- Excellent organizational, analytical, and multitasking abilities.
- Effective communication and interpersonal skills for collaboration across teams.
- Proficiency in project management software such as Microsoft Project, Asana, Jira, Trello, or Smartsheet.
- Ability to analyze data, monitor KPIs, and provide actionable insights.
- Detail-oriented with a proactive approach to problem-solving and process improvement.
- Strong time management skills with the ability to work under pressure and meet deadlines.
- Bachelor's degree in business administration, project management, engineering, or a related field preferred.
- Certification or training in project management (e.g., PMP, CAPM, PRINCE2) is an advantage.
- Positive attitude, adaptability, and a commitment to delivering results through teamwork.
