We're on the lookout for an organised, efficient and driven Senior Administration Officer, who's ready to roll up their sleeves and play a critical role, providing high level, efficient and confidential support to the Business Finance & Strategy (BFS) Senior Leadership Team (SLT). This an opportunity to work alongside Senior Leaders and Executives in our organisation, ensuring the smooth running of their day.

No two days are the same here. You will:

  • Provide diary management and monitor the email inbox for General Manager Business Partnering & Finance Operations, flagging urgent items and drafting appropriate responses when required.
  • Coordinate meetings, prepare agendas and take accurate minutes, with follow up action points as required.
  • Provide high level administrative support to ensure the smooth running of the day to day operations of the team.
  • Act as the central point of communication for BFS. You'll be the person others turn to for advice, guidance, and problem-solving ensuring the team feel supported.
  • Assist with preparation of wider team communications and coordination of team events and annual Galaxy Awards program.
  • Be an active advocate of Thrive - our team engagement program.
  • Code invoices for the teams within BFS and procurement card transactions for SLT.
  • Assisting management with onboarding/offboarding of BFS team employees.
  • Assist with travel bookings for SLT.
  • General ad-hoc administrative tasks, by means of prioritisation.
  • Help shape a culture of care, accountability, and continuous improvement.

Please note, this is a part time 4 day per week, permanent position. Flexibility is important to us, and we know it is to you, too - this role supports hybrid working.

What you will bring:

  • A can-do attitude and proactive mindset coupled with the willingness to go the extra mile.
  • Effective time management skills and adaptability to pivot and adjust priorities based on shifting team needs or unexpected roadblocks.
  • Ability to provide assistance at C-Suite level during leave cover with demonstrated professionalism, discretion, confidentiality and trustworthiness.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams) Experience with SharePoint an advantage along with the ability to quickly learn various applications such as D365 for invoice coding
  • Demonstrated experience in improving processes. Willingness to find solutions to challenges quickly and effectively, often thinking outside the box.
  • Strong communication, reasoning and including active listening, ability to convey information in a straightforward, understandable manner, whether written or verbal.
  • Strong stakeholder management skills to develop and maintain positive relationships with internal and external stakeholders. Ability to manage sensitive situations with discretion and professionalism.
  • High attention to detail and accuracy.
  • Ability to work independently and collaboratively.
