The Opportunity:

Lotus Commercial is growing and looking for a Service Coordinator to join our busy scheduling team. You will be pivotal in driving our efficient teams whilst prioritizing our valued customers. Based at Brendale in Brisbane's northern suburbs, this is an exciting opportunity for someone who has previous service coordination and scheduling experience, has a keen eye for detail, great communication, and exceptional customer service skills. The position will report to and work with the Regional Manager in a small and dedicated team.

Work Schedule:

Monday to Friday 8 am to 4 pm

Responsibilities:

  • Calling customers, ensuring the effective and efficient scheduling of jobs for customers in accordance with agreed service schedules
  • Maintain current records of existing and new customer details in the operating system (Simpro)
  • Ensure all communications are confirmed and documented on the roster schedule each day.
  • Work towards solutions in the event of absenteeism of staff and how to best ensure we service our customer's needs.
  • Support operational staff with problem-solving and proactive solutions.
  • Liaise with key staff and customers and process correct paperwork.
  • Ensure customer specifics and access requirements are maintained.
  • Report any incidents to management
  • Update Management of areas of improvement, we welcome and value your input
  • Be willing to work in a high-paced and fun atmosphere, our team may be small, but we are agile and focused on our goals.
  • Use Microsoft products, Excel, Word, PowerPoint, and Outlook
  • Plan your time and activities to deliver the best results for the team
  • Be reliable, punctual, and willing to learn a great role

Qualifications and Attributes required:

  • Oral & written communication; speaks clearly, fluently and in a compelling manner; writes in clear, concise style.
  • Planning & Organization; work systematically to ensure the effective prioritization, control and administration of multiple tasks.
  • Production efficiency; perform tasks quickly, at a high standard, and with minimal resources.
  • Initiative; take appropriate action without request or intervention of others
  • Self-sufficiency; Produce superior results working independently with limited guidance and control.
  • Self-motivation; Organized with the ability to monitor own progress, focusing on results.
  • IT literate, quick to learn, and confident in exploring capabilities of IT applications - Knowledge of Excel
  • Professional experience; you will possess relevant administrative experience
