Intake Engagement Officer — Newlight Ability Services

Role Summary

As an Intake Engagement Officer at Newlight Ability Services, you are the first connection for people exploring NDIS supports with Newlight Ability Services. You will collect key information, confirm fit and eligibility, and guide individuals and families through each step of our intake pathway. Working alongside participants, guardians, and internal teams, you ensure a clear, respectful, and well-organised start to services that reflects Newlight's person-centred values.

Core Responsibilities

  • Screening & needs capture: Gather background details, identify goals and risks, and determine suitability for Newlight Ability Services.
  • Welcoming engagement: Provide calm, clear explanations of Newlight's supports, respond to questions, and reduce uncertainty for participants and families.
  • Records & readiness: Keep precise notes, file required documents, and complete onboarding tasks so services can commence without delay.
  • Funding alignment: Liaise with planners/LACs and relevant stakeholders to confirm funding, timeframes, and required evidence.
  • Referral coordination: Help complete forms, chase supporting reports, coordinate with agencies, and hand over smoothly to service delivery teams.
  • Informed choice: Present options in accessible formats so participants can make confident decisions.
  • Team partnership: Work closely with Support Coordinators/ Team Leaders to align supports with the person's preferences and risks.
  • Trauma-informed communication: Use empathy, supported decision-making, and reasonable adjustments throughout contact.
  • Quality & compliance: Follow Newlight policies and the NDIS Practice Standards, Code of Conduct, privacy and incident pathways.

Skills & Experience

  • 2+ years' experience in NDIS admin, intake, or coordination.
  • Cert III/IV in Community Services, Diploma Community Services (or similar) or strong, relevant sector experience.
  • Solid grasp of NDIS eligibility, pathways, and service models.
  • Comfortable with data entry, referral portals, and client record systems; quick to learn new tools.
  • Microsoft 365 proficiency and strong general digital literacy.
  • Able to juggle multiple referrals, maintain waitlists, and hit onboarding targets.
  • Clear written and verbal communicator with excellent customer service.
  • Meticulous with documentation and information management, and confident using email, CRMs, and shared online folders.
  • Collaborative, diplomatic, and effective with diverse stakeholders.
  • Practical problem-solver who escalates issues appropriately.
  • Knowledge of WA disability services and community resources is advantageous.
