NorthPsych is a client-focused psychology practice and for over 25 years we have been dedicated to providing exceptional mental health care. NorthPsych has recently expanded to Melbourne and are looking for an experienced Medical Receptionist to join our friendly team on a casual basis to play a key role in supporting our practitioners and clients.

About the Role

As the first point of contact for our clients, you will be responsible for ensuring a welcoming and efficient front desk experience. This role is ideal for someone who wants to balance part-time work with other commitments. Your key responsibilities will include:

  • Managing phone calls, emails, and client inquiries with professionalism and empathy.
  • Scheduling and confirming appointments using practice management software (experience with Halaxy or similar systems is an advantage).
  • Processing payments, Medicare claims, and invoices.
  • Maintaining accurate client records and ensuring confidentiality.
  • Liaising with psychologists, clients, and referrers to ensure seamless communication.
  • General administrative tasks to support the daily operations of the practice.
  • Monitor stationery and supplies placing orders as required
  • Ensure the practice building and rooms are clean, tidy and accessible.

Hours

At minimum, we require availability to work on-site Tuesday-Thursday - between the hours of 1:00 and 5pm for a minimum of 12 hours a week . Additional availability to work Mondays and/or Fridays (with the option to work from home on these days) is preferred but not necessary.

About You

  • Minimum 2 years of experience as a receptionist, preferably in a psychology or allied health setting.
  • Experience using practice management software.
  • Strong organisational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and remain calm in a fast-paced environment.
  • A compassionate and professional approach when dealing with clients.
  • Ability to maintain confidentiality and professionalism.
  • Certificate or Diploma in Medical Office Administration is beneficial.
  • Hold a current Working with Children Check or willingness to obtain.
