The Role

We are seeking a Purchasing & Warehouse Coordinator to join our team in Kelvin Grove. This hands-on role bridges the gap between our offshore administration and local operations. You'll be responsible for managing purchasing, tracking deliveries, and ensuring smooth flow of materials for a wide range of AV integration projects.

This is an ideal position for someone who enjoys staying organised, keeping things moving, and supporting a busy project team with the right equipment at the right time.

Key Responsibilities

Purchasing & Procurement

  • Create and manage purchase orders in our job management system for various suppliers.
  • Coordinate with offshore admin to ensure purchasing processes are followed accurately and efficiently.
  • Track and confirm delivery schedules, ensuring goods are received on time for project milestones.
  • Liaise with suppliers and freight companies regarding order status, variations, and delivery updates.
  • Assist with maintaining accurate records of costs and supplier documentation.

Warehouse & Inventory Management

  • Receive and check deliveries against purchase orders and packing slips.
  • Log received items into the job management system and allocate them to the correct project.
  • Organise and label incoming goods in the warehouse by project.
  • Manage small amounts of consumable stock (connectors, cables, etc.) and re-order when required.
  • Keep the warehouse neat, functional, and safety-compliant.

Project Support

  • Manage Bills of Materials (BOMs) for larger projects, ensuring all components are ordered and tracked through delivery.
  • Update project teams on order and delivery statuses.
  • Support variation ordering and coordination during active site work.
  • Collaborate with project managers and technicians to ensure material availability aligns with site timelines.

About You

  • Highly organised and detail-oriented, with a proactive approach to problem-solving.
  • Confident working both independently and as part of a team.
  • Strong communication and coordination skills with internal and external stakeholders.
  • Experience in purchasing, logistics, or warehouse coordination (AV, electrical, or construction industry experience highly regarded).
  • Comfortable using job or inventory management systems and maintaining accurate data.
  • A current driver's licence and ability to handle basic warehouse tasks (unpacking, moving boxes, etc.).
