About The Role
Based in our Spring Street office in the Melbourne CBD, the Senior Records and Digitisation Officer works as a senior member of a team to support the department to deliver on core operational priorities in a complex, confidential and sometimes sensitive environment
Position Accountabilities
Records and Information Management Support
- Provide subject matter expertise, advice and support
Mail Handling, Forwarding, Courier and Logistics Support
Use business knowledge to accurately monitor, action and supervise the digitised mail distribution.
Business Operations Support
Utilise digital skills with a range of M365 applications to support business operations and financial administration
Team and Leadership Support
Support the Team Leader with day-to-day operational oversight, including workflow prioritisation, escalation management, and work planning for junior staff.

Senior Records and Digitisation Officer
Key Selection Criteria
As a Senior Records & Digitisation Officer, you'll need to be capable of leading the implementation of records and information management systems that meet legislative and organisational requirements. You'll be able to guide others in using digital and technology tools, ensuring smooth integration of new solutions into daily operations. Your critical thinking and problem-solving skills will help resolve complex issues and deliver sustainable business improvements. You are experienced in fostering collaboration across teams, adapting to shifting priorities, and can champion innovation and continuous improvement. With a strong grasp of electronic records management, you'll be able to influence best practice, provide expert advice to stakeholders, and help build a culture that values quality, compliance, and digital excellence.
Qualifications And Experience
- Records and Information Management Practitioners Alliance (RIMPA) Certified Experienced Records Management Professional (CERIM) or equivalent demonstrable knowledge and experience (mandatory).
- Applied knowledge of the Public Records Act 1973 and relevant Public Record Office Victoria standards (desirable)
Other Information
- This position is an operational role, may need to support Mail Room opening hours for parcel collection, and may be required to work specific hours or commence work at a specific time due to mail processing requirements.
- Ability to undertake screen-based work and lift/move parcels/items up to 20kg on an ad hoc basis (following Work Health & Safety guidelines/procedures and utilising mechanical supports as required).
- Willingness to undertake a medical assessment and meet other safety compliance requirements.
- Willingness to sign a Privileged User Access Declaration.
- All new appointments to the department will be subject to a National Police Records Check and maintain a clear Police check.
