Purpose of the Role

The Operational Governance Specialist plays an important role in successfully delivering Periodic Statements, developing and maintaining the business rules, processes and ways of working while supporting the Disclosure review process including forms and correspondence. This role will also support the Data Steward management and review policies and procedures. The Operational Governance Specialist will provide support to other crew within the team, providing guidance, and coaching, while also flexing up to support the Manager with planning, stakeholder engagement, and governance activities. The Specialist is expected to lean into operational tasks as needed, ensuring seamless delivery and readiness across the team.

Key Responsibilities

  • Operational Controls:
  • Assist in the planning and execution of operational controls activities across Superannuation and Direct Investments for Statements, Business Rules, Disclosure reviews and Data Steward management.
  • Support and review all forms and correspondence to ensure they are accurate and user friendly, capturing the required information for efficient administration.
  • Participate in the development of frameworks and testing activities (e.g. Statements, process validation) to confirm readiness for delivery.
  • Continuous Improvement:
  • Identify and support opportunities for process improvement, efficiency, and risk mitigation within operational workflows and business rules.
  • Maintain up-to-date knowledge of industry trends, regulatory changes, and best practices in operational governance.
  • Documentation & Governance:
  • Develop and maintain accurate and up-to-date processes, frameworks, ways of working, data steward process and Business Rules.
  • Ensure compliance with internal controls, audit requirements, and regulatory standards.
  • Assist with the preparation of materials for operational controls.
  • Stakeholder Engagement:
  • Liaise with internal stakeholders (e.g., Operations, Risk, Technology, Vendors) to coordinate operational controls activities and communicate changes.
  • Provide support and workshops across the division and act as a point of contact for queries related to operational controls.
  • Represent the team in meetings or forums as and when required.

Key Capabilities

  • Strong knowledge of operational controls, statement delivery, data steward management and disclosure.
  • Analytical and problem-solving mindset with strong attention to detail and commitment to quality.
  • Ability to work collaboratively in a team environment and build effective relationships across functions.
  • Sound problem-solving skills and a proactive approach to identifying and addressing issues.
  • Excellent written and verbal communication skills, with the ability to convey complex ideas clearly and influence stakeholders across all levels. Comfortable working in a dynamic environment with shifting priorities and deadlines.
  • Willingness to "get hands dirty" in both detailed process work and broader team initiatives

Experience & Qualifications

  • 5 years experience in operations, controls, and administration within investment management and Super preferred.
  • Experience to operations, governance, or vendor oversight processes is desired.
  • Understanding of fund structures, financial instruments, regulatory environment, and funds industry.
  • Tertiary qualifications in business, finance, or a related field preferred or relevant experience in a similar role
