About the job Office Coordinator (VIC)

NATA is seeking an experienced and proactive Office Coordinator to join our Melbourne office. This is an exciting opportunity for a motivated individual to play a key role in ensuring the smooth and efficient day-to-day operations of our office and facilities.

As the Office Coordinator, you will be the first point of contact for staff and visitors, and will take ownership of a variety of administrative, operational, and facilities management tasks. Your organisational skills, attention to detail, and ability to work autonomously will be essential in supporting a productive and professional workplace environment.

Work Class: Full Time Onsite

Key Responsibilities:

  • Oversee daily office operations and serve as the primary point of contact for general office enquiries.
  • Supervise and coordinate building maintenance and liaise with service providers as required.
  • Organise and support meetings and functions, including logistics, room setup, and catering.
  • Provide reception coverage when the Receptionist is on lunch or leave, including attending to all calls and greeting visitors as they arrive to the office.
  • Manage office supplies and equipment to maintain a well-stocked and efficient workspace.
  • Provide administrative support to internal teams as needed.

About You:

The ideal candidate will bring the following skills and experience:

  • Strong interpersonal and communication skills, with a professional and approachable manner.
  • Demonstrated initiative and problem-solving capabilities.
  • Ability to work independently and manage competing priorities.
  • Basic knowledge of commercial building maintenance (desirable but not essential).
  • Excellent time management and organisational skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
