Summary:

The Client Support Officer will provide essential administrative support to our teams of professional accountants and auditors. This position is designed to enhance operational efficiency through effective diary management, communication, and task coordination, allowing the team to concentrate on high-value activities. Based in Melbourne CBD, this full-time role is integral to maintaining client relationships and ensuring smooth administrative processes.

Responsibilities:

  • Handle client communications, responding to inquiries and providing information as needed.
  • Assist in the preparation of documentation for client meetings.
  • Maintain accurate records and files, ensuring all information is up-to-date and accessible.
  • Support the team in project management tasks, tracking progress and deadlines.
  • Assist with Reception duties in overflow capacity.
  • Assist with the collection of debtors
  • Dealing with tax office and ASIC correspondence
  • Prepare and review checklists of information required by the firm, including contacting clients for missing information.
  • Set up jobs in the system, maintain client database and assist with scheduling annual workflow.
  • Fee preparation for monthly billing
  • Monitoring of Work in Progress and assisting with monitoring workflow
  • Lodgments and filing with Govt. agencies
  • Assisting with tax registration requirements.

Experience and Qualifications:

  • Proven experience in an administrative or client support role, preferably within the professional accounting industry.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent verbal and written communication skills.
  • High level of proficiency across systems, processes and technology and the ability to learn new systems and processes.
  • Attention to detail and a proactive approach to problem-solving.
  • Ability to build good working relationships with team, clients, and networks.
  • High level of discretion, and confidentiality of all matters.
  • Able to demonstrate commercial and business acumen.
  • Certificate of business administration or similar preferrable.
