
Student Services Officer

A well-established registered RTO is calling a high performing Student Services Officer to join its friendly and vibrant team. VIA Education is located in the heart of Sydney CBD with 16 qualifications on scope, including Human Resource Management, Project Management, Leadership and Management and Hospitality Management courses. Our goal is to provide international students quality learning experience through education and training.
Overall Responsibility & Accountability
The Student Services Officer remains as the first point of contact of VIA students and prospective clients. The Student Services Officer is responsible and accountable to provide accurate guidance and advice to students seeking information, advice and assistance, or to direct student requests and inquiries to the concerned parties, or initiate student-related administrative procedures following VIA policies and procedures.
Reception Duties
- Answer reception phone and transfer phone calls and take messages when required
- Courtesy and appropriate respect are shown to students, visitors and callers
- Deal with enquiries and take actions as necessary, following the College's policies and procedures
- Sort, register and distribute all incoming and outgoing mails
- Deal with Front desk sales
- Act as the first point of contact with VIA students and direct students to the most appropriate channels as required
Student File Management
- Prepare and manage student files, ensuring completeness and correctness in line with compliance requirements
- Update and maintain student records in the Student Management System
- Assist with filing academic transcripts and qualifications for graduating students in accordance with VIA policy and procedures
Student Support and Monitoring
- Remains as the first point of contact to discuss with students on course progress, re-attempting assessments and re-enrolling
- Interact with student enquiries across a range of channels, including in-person, telephone, email and social media
- Record all student interactions in student diary as required
- Develop and maintain knowledge and understanding of VIA's student administration processes
Essential selection criteria:
Autonomous self-starter
Proven experience working with International Students
Proven experience working in CRICOS VET sector
Outstanding communication skills, organisation skills and problem solving skills
Punctual, reliable and self-motivated
Ability to pick up new systems quickly
