About Us
Calico is one of Australia's most established and respected digital agencies. For over 20 years, we've delivered strategy, design, and enterprise-grade web development for landmark clients including Zoos Victoria, Melbourne Polytechnic, Royal Botanic Gardens Victoria, and the Melbourne International Comedy Festival. We are proud to be an Umbraco Platinum Partner in Australia.
With a team of over 20 specialists working in a hybrid model, we take pride in delivering high-quality digital solutions while fostering a supportive and collaborative culture.
The Role
We're looking for a talented Project Manager to join our team, with the flexibility to appoint at either the Mid or Senior level depending on your experience. In this role, you'll help deliver successful outcomes for clients by keeping projects on track — managing timelines, budgets and day-to-day communication.
As a Project Manager, you'll need to foster relationships with clients and colleagues, lead teams through the project life cycles and report to the senior leadership team on key project metrics.
This role is a hybrid position and requires 2 days at our Melbourne CBD Office.
What You'll Do
- Manage concurrent digital projects using Agile or Waterfall, delivering to agreed scope, timelines, and budgets
- Oversee client retainers, prioritising ongoing support and enhancements
- Define project scopes, prepare proposals, schedules, budgets, and statements of work in collaboration with discipline leads
- Track and report on project progress, budgets, risks, and milestones to keep clients and stakeholders informed
- Lead client workshops, WIP meetings, retrospectives, and debriefs to ensure alignment and improvement
- Manage project change processes, negotiating scope, budget, and timeline adjustments with clients
- Build trusted client relationships by managing expectations and identifying opportunities to foster growth in partnerships
- Take accountability for project performance, including troubleshooting issues, escalating risks, and managing budgets and resourcing forecasts
Essential:
- 3+ years (mid-level) or 6+ years (senior-level) project management experience in digital or software development
- Proven ability to manage multiple projects simultaneously, delivering to agreed timelines, budgets, and scope
- Strong understanding of the project management life cycle, with the ability to track and report against milestones
- Proficiency with project management tools such as JIRA, Productive, SmartSheets, and Slack
- Excellent organisational and time-management skills, with the ability to work under pressure
- Confidence in building and fostering strong client and stakeholder relationships
- Well-developed problem-solving and negotiation skills
- Exceptional written and verbal communication skills
- Experience in financial and budget management reporting
Desirable:
- Degree in business, project management, or related discipline
- Formal Project Management certification
- Experience with enterprise CMS platforms, especially Umbraco and WordPress
- Understanding of web development processes, technologies, and terminology (e.g. APIs, integrations, hosting environments)
- Ability to mentor and support colleagues, contributing to team capability
- Exposure to business development or account growth activities (e.g. identifying upsell opportunities)
Why Join Us?
- Competitive salary package based on experience
- Hybrid work environment (remote / CBD studio)
- Paid parental leave
- Supportive policies, including domestic violence leave and legal assistance
- Career development through conferences, training, and mentoring
- A progressive, people-first culture with empathetic leadership and a genuine focus on work-life balance
