It is the long-term program that is progressing Perth's proposed new, world-class port facility in Kwinana, which will unlock Western Australia's economic growth, allow for the evolution of Fremantle, and deliver local jobs and opportunities in our southern suburbs.

The Opportunity

Westport is driving one of Western Australia's most transformative infrastructure programs and none of it happens without the powerhouse behind the scenes. Our Governance & Secretariat Team is the backbone of program governance, ensuring our committees run smoothly and our executive office operates at peak performance.

We're now looking for talented professionals to bring their energy, precision and initiative to this dynamic team:

  • Secretariat & Governance Officer - Level 4
  • Executive & Business Coordinator - Level 5

Work description:

The Secretariat & Governance Officer - Level 4
is a key role supporting Westport's governance committees and ensuring the smooth operation of processes, probity, correspondence and stakeholder engagement. You'll be responsible for:

  • Providing high-level secretariat support for Westport governance committees, including preparing meeting papers, agendas and delivering accurate minutes.
  • Managing multiple mailboxes and redirecting correspondence to appropriate staff for action.
  • Coordinating correspondence related to governance, probity, Ministerial and office administration.
  • Maintaining program databases, registers, and records to support effective committee and probity management.
  • Supporting general office administration and contributing to a well-functioning, values driven team.
  • Pitching-in across the office as needed, whether it's helping with logistics, greeting visitors or assisting with ad-hoc tasks – your flexibility and team spirit will be valued.

You'll bring experience in executive-level administrative support, including committee coordination and minute-taking. You'll have a strong eye for detail, excellent organisational skills, and a proactive approach to supporting governance and operations. You'll enjoy working in a dynamic and fast-paced environment within a supportive team, doing what needs to be done.

The Executive & Business Coordinator - Level 5
is central to the delivery of high-level executive support to the Managing Director and ensuring seamless operations across Westport. You'll be responsible for:

  • Providing proactive and confidential executive support to the Managing Director, including calendar, inbox and correspondence management.
  • Managing executive workflows, determining priorities and actions for incoming correspondence and briefings (including Ministerial) and coordinating responses.
  • Facilitating executive meetings and governance processes, including agenda preparation, collation of supporting documentation, minute-taking, action tracking and reporting.
  • Managing office operations including staff onboarding, travel logistics, event management, building access, fleet vehicles, and facilities coordination.
  • Supporting internal and cross-agency collaboration through effective stakeholder engagement and communication.
  • Assisting with special projects, research, and analysis to support strategic decision-making.

This position would ideally suit candidates with extensive experience providing high-level senior executive support in an EA capacity. Your ability to anticipate needs, manage competing demands, and communicate with clarity will make you an invaluable part of the leadership support team.

There are currently Three (3)
fixed term appointment contracts up to
30 June 2028
with the possibility of extensions and/or permanency available for immediate start.

This is a pool recruitment process; we use recruitment pools to build a bank of talent who we feel might be suited to future opportunities within Westport and/or the Department of Transport and Major Infrastructure. You may join us on a full-time, part-time, fixed term or permanent basis; however, an appointment is not guaranteed.

Suitable applicants will be placed in a pool from which appointments will be made for this or similar future vacancies (fixed term or permanent) that arise within the next Twenty-four (24) months from date of first appointment across Westport or the Department of Transport.
