Office Manager – East Coast Energy Solutions (Cairns, QLD)

As we continue to grow, we're looking for a proactive and organised Office Manager to take ownership of our administrative, HR, and operational systems — ensuring our office runs smoothly and efficiently.


Role Responsibilities

Office Administration

  • Manage day-to-day office operations including phone calls, emails, and correspondence
  • Manage administrative assistants and their duties
  • Maintain organised digital and physical filing systems
  • Coordinate communication and scheduling between office and field teams
  • Support management with reporting, compliance records, and internal communications

Bookkeeping & Finance

  • Process invoices, receipts, and payments using Xero
  • Assist with payroll, accounts payable/receivable, and bank reconciliations
  • Generate accurate quotes and invoices within SimPRO (preferable)
  • Maintain financial accuracy and compliance with company and ATO requirements

Human Resources & Recruitment

  • Manage HR and onboarding administration through Work Safety, including contracts, staff records, compliance tracking, and leave approvals
  • Coordinate interviews, candidate communication, and recruitment logistics in partnership with leadership
  • Maintain up-to-date employee documentation and ensure HR compliance across the business

Operations & Project Support

  • Manage supplier accounts, orders, and stock tracking
  • Coordinate with project teams to ensure smooth delivery of works and documentation
  • Support project scheduling, job creation, and workflow tracking in SimPRO

Brand & Executive Support

  • Maintain brand standards by managing uniforms, marketing materials, and office supplies
  • Support senior leadership with travel arrangements, scheduling, and coordination
  • Assist with general administrative duties

Key Requirements
  • Proven experience in office management, administration, or bookkeeping (trade or construction industry experience highly regarded)
  • Proficiency in Xero (essential) and SimPRO (highly desirable)
  • Experience with Worx Safety or similar HR & safety platforms
  • Strong organisational and multitasking skills with high attention to detail
  • Excellent written and verbal communication
  • Professional presentation, discretion, and initiative
  • Self-motivated and able to work independently within a team environment
