Personal Assistant to the Director of Kindergartens

The Role

We are seeking a well-presented professional with strong interpersonal and administrative skills to work closely with the Director of Kindergartens, Head of Junior School (boys), and other senior staff, managing multiple tasks efficiently while maintaining professionalism and confidentiality in our busy school environment.

This is a full-time ongoing role commencing in November 2025, working Monday to Friday, 8:30am–5:06pm at the Essendon campus.

Key Responsibilities:

  • Schedule appointments and meetings, book facilities, arrange catering, and prepare information for the Director of Kindergartens
  • Manage records, files, and assist with events such as parent-teacher nights
  • Provide friendly assistance to parents, students, and staff
  • General administration: filing, mail outs, typing, data entry, updating spreadsheets
  • Support reception, answer calls, attend to enquiries, process payments, distribute goods and forms

Key requirements:

  • Relevant administrative experience
  • A strong customer service focus
  • Excellent interpersonal and communication skills, with the ability to liaise effectively and develop rapport with students, staff and parents
  • High levels of professionalism, including a discreet and confidential approach
  • Effective computer skills, including Microsoft Suite, Word, Excel & data entry, with Synergetic experience a benefit
  • Ability to draft and format documents and accurately proof material
  • Ability to work in a team environment and independently
  • A commitment to child safety, demonstrating an understanding of appropriate behaviours when engaging with children with diverse needs and backgrounds
  • A valid Working With Children Check, a National Criminal Record Check

The School

Penleigh and Essendon Grammar School has over 3000 students from K-12 at campuses in Moonee Ponds, Essendon and Keilor East. We have outstanding staff, facilities and programmes to enhance student wellbeing and learning and develop creative, caring and critical thinkers.
