Qualifications and Experience:
- Minimum of 12 months' experience in a reception and administrative environment
- Enthusiastic, proactive, and driven
- Strong organisational skills with the ability to multitask
- Able to handle administrative duties efficiently and independently
- Excellent client service and communication skills
- Welcoming and professional demeanour is essential
The Role:
- Front of house: managing a busy reception desk, including screening calls and taking detailed messages
- Advising clients on services and fees
- Booking appointments, sending confirmations, and providing clients with necessary paperwork
- Greeting visitors and answering calls in a professional and courteous manner
- Ensuring accurate and timely delivery of messages to the appropriate person and their support team
- Managing lawyer calendars and assisting with scheduling meetings
- Monitoring and responding to the firm's general email inbox and directing emails to the relevant lawyer and their support team
- Maintaining the firm's contacts database in the document and client management system
- Keeping a detailed monthly spreadsheet of enquiries
- Collecting post daily
- Receiving and distributing mail and parcels
- Processing client payments (via EFTPOS) in person and over the phone
- Kitchen duties, including preparing client coffees and maintaining a clean, organised kitchen space
- Ensuring the reception area and meeting rooms are tidy and presentable
- Providing support to the Practice Manager and backup assistance to the team as required
Essential Skills and Experience:
- Previous experience in family law or legal administration is advantageous
- A current National Police Clearance certificate will be required before commencement
- Strong administrative and organisational skills, with experience handling cash and EFTPOS transactions
- Excellent interpersonal, communication, and customer service skills
- Polite and professional phone manner
- Ability to prioritise tasks effectively and ensure smooth front-office operations
- Confident and professional presentation
- Ability to work autonomously and take initiative
- Calm, professional and respectful when dealing with clients, with strict adherence to confidentiality requirements
- Strong grammar and writing skills
- Proficient in MS Office/Outlook and typing (minimum 50 WPM), with experience using legal practice management software (training provided if needed)
