As a Client Service & Project Coordinator, you will drive the successful execution of Client Service organizational programs and initiatives, overseeing administration and support services while ensuring exceptional client engagement and stakeholder satisfaction.
The responsibilities of the position
- Apply in-depth knowledge of legal contracts to lead the development, review, and negotiation of amendments to investment management agreements and fund establishment.
- Lead the client onboarding program, managing end-to-end workflows, tracking milestones and deliverables, ensuring timely contract execution and compliance adherence.
- Coordinate cross-functional teams, including legal and key stakeholders, to proactively address risks, resolve issues, and deliver a seamless client onboarding experience.
- Coordinate AFSL and fund compliance projects, working with the General Counsel and clients to plan, monitor, and ensure adherence to regulatory requirements.
- Partner closely with clients to deliver and analyse quarterly fund reports/ compliance registers, highlight critical issues, and provide strategic recommendations to the executive team.
- Manage stakeholder engagement across legal, client, audit, investment, tax, and senior management teams, facilitating communication, resolving issues, and driving project milestones to completion.
- Provide strategic guidance to the Managing Director and senior management, executing decisions, and leading initiatives to enhance organizational performance.
- Oversee and coordinate the work of external lawyers and investment managers, ensuring outputs and workflows meet business standards and objectives.
- Collate and analyse data associated with the ongoing Salesforce project, reporting on outcomes while maintaining project documentation, timelines, and status reports.
- Review marketing materials, deliver comprehensive feedback, and collaborate with Management and Legal teams to ensure compliance and alignment with organizational objectives.
- Lead and manage specialised projects end-to-end, including planning, timelines, risk management, stakeholder coordination, and project reporting.
- Utilise specialised software to compare, annotate, and cross-reference legal documents, supporting efficient document management and review.
- Function as the main client and stakeholder contact, facilitating engagement and relationship management.
Requirements
- Tertiary degree in business, finance, or a related field.
- Minimum 2 years previous experience in financial or professional services, preferably in trustee services, fund administration or compliance.
- Previous experience using Salesforce is essential.
- Demonstrated experience in managing projects from planning through to delivery while effectively balancing priorities.
- Excellent communication and relationship-building skills.
- Confident in learning and applying AI-driven compliance tools to support business processes (training provided).
- Meticulous attention to detail, ensuring accuracy and high-quality outcomes.
- Ability to perform with a high degree of professionalism, integrity and discretion.
