Personal Assistant / Course Administrator

The Australian Golf Club is a private member's club located 6km from the heart of the Sydney CBD. Inaugurated in 1882, The Australian Golf Club holds the honour of being the oldest golf club in the Commonwealth.

The Course Administrator is responsible for supporting the Course Maintenance operations with administration tasks. This role involves strong organisational skills, attention to detail, and stakeholder management.

Responsibilities

·       Maintain accurate records of staff information, parts and stock inventory, tools and machinery, and relevant.

·       Create and maintain all golf course maintenance documents.

·       Support managers with the recruitment administration for Course Maintenance staff.

·       Coordinate the onboarding and offboarding of new employees within the Course Maintenance team, including ensuring appropriate documentation has been filed.

·       Support with processing timesheets and leave entries on Employment Hero for the Course Maintenance team.

·       Undertake stocktake of chemical inventory and tools.

·       Monitor and maintain maintenance schedules for the course, and coordinate rostering to meet maintenance schedules.

·       Maintain the Club's Environment, Health and Safety (EHS) system, ePar, and ensure that all staff are up-to-date with compliance requirements on the system.

·       Complete and file safety assessments before maintenance tasks are initiated.

·       Collect data using specific tools on the course.

·       Ensure safety measures are taken before works begin.

·       Liaise extensively with both internal staff and external stakeholders to ensure jobs are completed.

·       Communicate with a wide variety of stakeholders in a friendly and professional manner.

·       Work closely with team members across the Club to ensure the course is prepared for events.

·       Demonstrate high levels of customer service when engaging with members and guests.

·       Ad hoc support as required by managers.

Key skills and attributes required

·       Experience as an Administration Officer.

·       Strong proficiency with the Microsoft Office suite, particularly Microsoft Excel, Word and Outlook.

·       Extensive customer service experience in a front facing role.

·       Strong verbal and written communication.

·       Excellent attention to detail and organisational skills.

·       Experience prioritising tasks.

·       Ability to adapt your communication style to a wide variety of stakeholders.

·       Strong numeracy and data entry skills.

·       Openness to change and flexibility.

·       Current Drivers License

Expected hours of work

  • All hours are up for negotiation.
  • The course maintenance teams regular hours are 5:00am – 2:00pm
  • The role will be part time, ranging from 15 guaranteed hours a week, to 25 hours during busy periods, tournaments and projects.
