We use smart systems, AI tools, and modern processes to deliver a seamless experience for clients — and this role plays a key part in keeping everything running smoothly.

About the Role

We're looking for a highly organised and detail-focused Property Acquisitions & Settlements Assistant to support our Buyer's Agent through every stage of the property acquisition process.

You'll help manage documentation, coordinate stakeholders, track contract dates, and ensure each deal moves from shortlist → offer → contract → settlement without delays.

This is a hands-on, in-office role suited to someone who enjoys structure, precision, and working in a fast-paced real estate environment.

Key Responsibilities

Acquisition Support

  • Assist with suburb checks, shortlists, CMAs, and rental research
  • Liaise with selling agents to request and track Contracts of Sale
  • Upload and organise property documents, images, and inspection videos
  • Maintain due diligence checklists and templates
  • Use AI tools to summarise reports and streamline admin tasks

Contract & Condition Management

  • Track all key contract dates, conditions, cooling-off periods, and milestones
  • Coordinate B&P inspections, valuations, insurance, and lender requirements
  • Ensure documents are accurately named and stored
  • Keep GoHighLevel and Notion updated in real time

Settlement Coordination

  • Liaise with brokers, conveyancers, solicitors, and property managers
  • Prepare and send pre-settlement checklists
  • Assist with rental campaign preparation (where required)
  • Ensure settlements proceed smoothly and on time

Client & Executive Support

  • Prepare documents for strategy and acquisition meetings
  • Draft clear and professional client emails and updates
  • Assist with calendars, follow-ups, and workflow management
  • Provide general support to the Buyer's Agent

About You

We're looking for someone who is:

  • Passionate about property and investing
  • Highly organised, reliable, and detail-oriented
  • Strong in written communication
  • Tech-savvy and quick to learn new systems
  • Comfortable using AI tools to improve workflow
  • Calm under pressure and able to manage competing deadlines
  • Confident working with checklists and structured processes
  • Interested in property, documentation, or real estate operations

Preferred (but not essential):

  • Experience in real estate admin, sales admin, PM, or PA roles
  • Understanding of contracts, B&P, valuations, or settlements

Performance Indicators

  • No missed contract milestones
  • Accurate and consistent documentation
  • Smooth, on-time settlements
  • Same-day responses to key stakeholders
  • Positive client feedback and efficient deal flow

Salary & Benefits

  • $60,000 – $90,000 + super
  • Bonuses + uncapped commission based on performance and deal flow
  • Ongoing training in property, AI tools, contracts, and operations
  • Opportunity to grow as the company expands
