Workshop & Administration Support Officer

JAW Auto Electrical and Air Conditioning is looking for a driven and proactive professional to assist us in administration support at our Perth Head office operations. This person will support our Directors, and Technicians, both in field and workshop in specific areas of our business operations.

You must be able to manage multiple projects and prioritise effectively, taking direction. Excellent computer skills, communication, and organization are essential.

Up to 30 hours per week.

Your tasks will include but are not limited to:

Meet and Greet walk in Customers, phone calls and emails in a prompt manner

Assisting with daily Customer invoicing both public, and corporate clients

Assist Directors with emails and pricing quotations for customers

Processing of parts deliveries and supplier invoice entering

Preparing weekly supplier/subcontractor payment runs

Workshop and in Field job scheduling and liaising with customers

Parts research and ordering/stocktake guided by Technicians

Liaising between suppliers for EOM reconciling

Adhere to company and industry WH&S policy

Below are other areas that you will need to be proficient in as part of the role:

• Document control, internal documents and word processing

• Naming and sorting files in SharePoint

• Basic computer support and initiative

• Stocktaking, distributing and ordering stationary and other items

• Organising team-building events and other work functions

• Admin support for all internal meetings, taking notes, and distributing task flows in Microsoft teams

• Scanning, filing and other general admin duties

• Adapt to changes in the business depending on demands and be able to adjust your priority list

• Support role for Mobilisations, HR, and Finance depending on business demand

• Current C class drivers licence

• Microsoft 365 experience

• Teams and SharePoint experience

• Automotive, Civil, or Mining administration experience is desirable
