naWe are seeking a highly proactive, energetic, and resourceful Executive Personal Assistant to support the Head of Marketing and Head of Sustainability at Old Mutual Investment Group. This role requires an individual who thrives in a fast-paced environment, can anticipate needs before they arise, and operates with both efficiency and enthusiasm. The successful candidate will be a vital force in keeping our Head of Sustainability and marketing function running seamlessly — enabling them to focus on strategic impact while ensuring smooth day-to-day execution.

What You'll Be Trusted With

1. Executive and Team Coordination

• Manage complex and dynamic calendars, prioritising competing commitments with foresight and discretion.
• Coordinate team meetings, prepare agendas, take detailed meeting notes, and track follow-up actions to ensure accountability.
• Support team rhythm by maintaining an organised system for weekly stand-ups, project reviews, and one-on-ones.
• Act as a central connector between the Head of Marketing and the Head of Sustainability, and the wider marketing and sustainability teams, ensuring clear communication and timely follow-through.

2. Communication & Stakeholder Management

• Serve as the first point of contact for both internal and external stakeholders.
• Draft correspondence, prepare briefings, and manage high-level communication with professionalism and confidentiality. 
• Filter and prioritise requests, demonstrating sound judgment in balancing urgency, importance, and executive priorities.

3. Travel & Logistics

• Coordinate complex domestic and international travel, including multi-leg itineraries, visas, accommodation, and ground transport.
• Anticipate travel requirements and prepare detailed travel packs (meeting briefs, client overviews, logistics).
• Support sustainability-aligned travel decisions (e.g. carbon-efficient choices, digital-first coordination).

4. Administrative & Operational Excellence

• Prepare reports, presentations, and expense submissions with exceptional accuracy and attention to detail.
• Maintain an efficient electronic and physical filing system aligned with data privacy and compliance standards.
• Track key project milestones and provide administrative support for marketing and sustainability campaigns, events, and internal initiatives.

5. Confidentiality & Professional Integrity

• Handle sensitive business and personnel information with utmost discretion.
• Maintain high ethical standards aligned with Old Mutual's values and confidentiality policies.

Who You Are

You're a purpose-driven professional who blends analytical excellence with a passion for sustainability. You understand how ESG factors shape long-term investment outcomes and are comfortable working with complex data, multiple stakeholders, and evolving sustainability frameworks.

You bring:

• Minimum 5 years' experience as an Executive Assistant or Personal Assistant at senior level.
• Proven experience supporting C-suite or senior executives in marketing, sustainability, or financial services.
• Advanced proficiency in Microsoft Office 365, Teams, and project management platforms (Asana, Trello, or similar).
• Exceptional organisational and communication skills — both written and verbal.
• Demonstrated ability to think on your feet, solve problems independently, and handle confidential matters with tact.
