Supplier Relations Executive Overview:
We are looking for a full-time (37.5 hours per week) Supplier Relations Executive who can support our growing Procurement Department. As the Supplier Relations Executive, you will have a diverse and varied role. You'll collaborate with our global teams to support company initiatives and uncover innovative solutions, while taking a proactive approach to your day-to-day responsibilities.
Responsibilities & Duties:
- Assist the Procurement team with development and execution of supplier programs.
- Develop and maintain working relationships with hoteliers and other suppliers.
- Assist the team with documentation and data management for the Request for Pricing (RFP) process, including distribution and loading of supplier rate updates.
- Action internal queries and issue escalations related to suppliers, providing solutions and liaising with staff and suppliers.
- Work closely with Operations and Divisional heads on car and ground transport rates and queries, assist internally with rate checking and issue escalation and resolution.
- Collect and store hotel information on relevant database systems and ensure smooth operation of back-office systems related to suppliers, ensuring data accuracy.
- Assist the Procurement team in collating supplier reports from Tramada and TAG Desktop.
- Coordinate supplier office visits and agents' presentations and liaise with other APAC offices to obtain their appointments. Meet and greet catering deliveries, off-site events and FAM trips. Organise calendar of supplier events and invite and manage all staff invitations as needed.
- Attend industry events to enhance TAG's profile in the hotel industry.
- Coordinate employee attendance to all in-house supplier training sessions, presentations, FAM trips, and supplier functions. Assist with the distribution of supplier information to all employees. Attend all in-house supplier training sessions, presentations, and meetings, when required.
- Coordinate shareholders, directors, and support employee business travel requiring APAC accommodations in line with the TAG Business Travel Policy.
- Keep a log of Hotel Reward Points and properly allocate the Hotel Reward Points when needed towards directors or employee travel.
- Collate and distribute the bi-weekly Supplier Relations Newsletter for all APAC internal staff. Includes actively researching and keep up with hotels news, anything relevant worth broadcasting, new hotel openings etc.
- Operate in accordance with local bribery legislation and company policies.
- Provide customer service and adhere to service level agreements and company PCI regulations.
- Work with the Finance team to ensure accurate and timely processing of payments where required.
- Assist the team with the setup of allocations and contracts for suppliers and vendors.
- Field agent queries and maintain supplier profiles, assist with load inventory, and update supplier details in the system.
Qualifications:
- Certificate or diploma in travel, tourism or related field OR in lieu of education, equivalent combination of education and directly related experience.
- 2+ years of relevant experience in a procurement or negotiation-focused role. Or within the travel industry and/or hotel, supplier relations role.
- Strong knowledge and understanding of supplier contracts, pricing, RFPs, commissions, mark-ups.
- Knowledgeable about APAC hotels, specifically destinations close to major venues.
- Intermediate negotiation skills.

- Advanced customer service skills.
- Advanced change management skills.
- Advanced time management skills.
- Advanced knowledge & understanding of negotiated contracts / pricing and RFP processes.
- Knowledge of hotels within Asia Pacific, specifically destinations close to major venues.
