About the role
As our Event Coordinator, you will be at the heart of delivering seamless and memorable experiences for our clients. This role is diverse and hands-on, offering the chance to work closely with a wide range of stakeholders across the business. You will act as the direct channel between our MICE/Sales teams, clients, and agents to coordinate Reef Unlimited group and charter events, ensuring every detail is carefully managed.
Your day-to-day responsibilities will include:
- Preparing run sheets, contracts, and invoices.
- Maintaining accurate records and updating databases.
- Coordinating all operational requirements for charters and events.
- Liaising with external suppliers to ensure smooth delivery.
- Engaging with cruise ship agents and coordinating charter logistics.
- Overseeing on-the-day coordination of group and charter travel.
- Maintaining and updating the charter calendar.
- Working with internal departments to support planning and reporting.
About you
We are looking for someone passionate about adventure tourism who thrives in a hands-on, engaging environment. You will have proven experience in an Event Coordinator or Sales role, with the confidence to manage multiple projects and competing priorities. Strong organisational skills and the ability to think on your feet are essential.
You will be proactive, detail-oriented, and professional in representing our brand. Excellent communication and interpersonal skills are key, as you'll work closely with internal teams, external suppliers, and stakeholders. We're looking for someone who can balance independence with collaboration, exercise discretion with sensitive matters, and build strong relationships at all levels.
