*The Role We are seeking an experienced, warm and highly organised Early Learning Centre (ELC) Administration Assistant* to provide exceptional administrative and reception support within our vibrant Early Learning Centre. This role supports the Director, families and staff while ensuring the smooth daily operation of enrolments, reception, communication, first aid administration and Centre events.
This is a part-time role, working four days per week, operating year-round, excluding the College's standard two-week Christmas closure period.
Key Responsibilities
- Assist with enrolment processing including waitlist uploads, interview coordination, documentation and maintaining accurate records across Xap and TASS.
- Provide high-quality administrative support to the Director and ELC team, ensuring efficient day-to-day operations.
- Act as the first point of contact for families, delivering warm and professional service in person, on the phone and via email.
- Manage parent correspondence, reception displays, attendance rolls, absentees, filing, scanning and general office activities.
- Coordinate catering, materials and logistics for Centre events.
- Contribute to planning and delivery of key annual events such as Mother's/Father's Day stalls, Under 8's Day, Grandparent's Day, Book Week, Crossing of the Bridge, Parent–Teacher Interviews and the Christmas Concert.
- Create programmes, ticketed events and resources, and assist with photography, videography and promotional materials.
- Manage daily use of the Xap system and ensure documentation accuracy.
- Conduct quarterly first aid kit audits, manage incident forms, notify parents and maintain medical information for students.
About You
You will have:
- Previous administrative or reception experience, ideally within an early childhood or school environment.
- Excellent organisational and communication skills with strong attention to detail.
- Confidence using digital systems including Microsoft Office, Canva, Adobe Suite and student management platforms.
- A warm, welcoming approach and the ability to build strong relationships with families and staff.
- A commitment to the values and ethos of Coomera Anglican College.
- Must hold a current paid QLD Working with Children Check (Blue Card).
- Must hold current First Aid, CPR, Anaphylaxis and Asthma certifications.
- Certificate III in Business Administration or minimum 2 years of relevant administrative experience.
- Early Childhood Education and Care Certificate III, Diploma or Advanced Diploma (highly regarded).
- A valid Australian Driver's Licence.
