About Inner You Development

Inner You Development is opening a brand-new, trauma-informed allied health clinic in Upper Mount Gravatt.

Our clinic provides counselling, psychology, occupational therapy, dietetics, NDIS supports, and family services within a warm, modern, and client-centred environment.

We are now seeking a full-time Clinic Administrator to oversee reception, administration, practitioner support, and daily clinic operations. This role is essential to creating a safe, calm, and welcoming experience for clients and clinicians.

Position Summary

The Clinic Administrator is responsible for the smooth and professional running of the clinic.

This role combines:

  • Reception
  • Administration
  • Client onboarding
  • Practitioner support
  • NDIS administrative tasks
  • Scheduling & coordinating clinical rooms
  • Managing communication within the clinic

The successful candidate will be warm, organised, emotionally mature, and confident in managing a busy allied-health environment.

Key Responsibilities
Reception / Front-of-House
  • Greet clients warmly and ensure a safe, calm reception experience
  • Answer phones, emails, and enquiries (NDIS, private, GP, EAP, DVA)
  • Manage bookings, confirmations, waitlists, and cancellations
  • Maintain reception area appearance and client flow management
  • Support trauma-informed client interactions
Administration
  • Process payments, invoices, rebates (NDIS, Medicare, private, EAP)
  • Manage emails, documents, forms, and clinic communications
  • Maintain accurate client records and file management
  • Prepare reports, letters, and practitioner templates
  • Manage clinic supplies, equipment, and room readiness
  • Coordinate daily operations and workflow
Practitioner Support & Clinic Operations
  • Support clinicians with onboarding, documentation, and compliance
  • Manage practitioner schedules and room allocations
  • Track referrals, caseloads, and service demand
  • Communicate with care teams (GPs, NDIS coordinators, referrers)
  • Assist with NDIS portal processing and service agreements
  • Coordinate team meetings, wellbeing events, and quarterly supervision
System Management
  • Use practice software (Halaxy, Xero, NDIS portal)
  • Uphold strict confidentiality and privacy requirements
  • Support NDIS Quality & Safeguarding compliance
  • Assist with internal audits and policy updates

Skills & Experience
Essential
  • Strong reception and customer service skills
  • Prior experience in allied health, medical, or NDIS administration
  • Minimum 1-2 years of experience in allied health, medical, or NDIS administration is required
  • Excellent verbal and written communication
  • Strong organisational and multitasking ability
  • Ability to remain calm, warm, and professional in a busy clinic
  • Confident with scheduling systems and administrative workflows
Highly Desirable
  • Experience with Halaxy, Medicare, NDIS, or EFTPOS systems
  • Experience supporting multidisciplinary practitioners
  • Understanding of trauma-informed client interactions
Required Clearances
  • Blue Card (Working with Children Check)
  • NDIS Worker Screening Check (Queensland)
  • National Police Check
  • Full Australian working rights
