Curtin College is looking for 2 Full Time Student & Academic Services Officers.

As a Student & Academic Services Officer, you will play a vital role in enhancing the lives of students by providing high-quality administrative and services support within the College/Campus across a broad range of academic and student services and administrative functions.

Key Result Areas:

Reception and Front Desk Services

Provide high-quality support for the College/Campus reception, including:

  • Responding to telephone, email, and in-person enquiries on a wide range of student-related matters.
  • Greeting and directing students, staff, and visitors in a professional and courteous manner.
  • Managing the reception area to ensure it is welcoming, tidy, and well-resourced.
  • Handling incoming and outgoing mail and deliveries.
  • Maintaining a log of visitor and student enquiries for reporting and service improvement purposes.
  • Assisting with the coordination of front desk rosters and ensuring adequate coverage during business hours.

General Administrative management/support

  • Assist in the management of the academic calendar of events and activities.
  • Maintain the accuracy of student records with version control over program structures.
  • Assist with timetabling, invigilation, quality control, and the conduct of examinations.
  • Maintain the accuracy of student records and cleanse data for regulatory reporting.

Student progression and records management

  • Assist with the management of examination processes, including preparation of exam timetables, printing of exam papers, processing deferred examination applications, and rostering and supervising invigilators.
  • Assist with enrolment/re-enrolment and associated activities.
  • Assist with student progression, completion, and transition processing.
  • Assist with the administration and reporting of student and graduate satisfaction surveys, and course and teaching evaluations.
  • Process results, changes to grades, terminations, academic status and unit appeals, awards, and merit scholarships.
  • Process requests for enrolment variations, deferrals, and withdrawals in accordance with policies.
  • Process students' variations to enrolment.
  • Assist with the planning of graduation ceremonies and orientation.

Staff/Student support

  • Assist with annual course reviews, and student and course evaluation processes.
  • Provide information to students relating to programs/courses, academic policies and procedures, program progression, transition to university, and other student academic matters.
  • Provide administrative and secretarial support to various academic and student committees.
  • Develop and maintain strong and effective relationships with all stakeholders.
  • Assist with College/Campus orientation, graduation, and student experience activities.
  • Process student requests for replacement documentation.
  • Provide advice to students relating to College/Campus policies and procedures, program progression, transition to university, and other student administrative matters.
  • Undertake student monitoring duties, including retention and performance calls as directed.
  • Assist and engage in student extracurricular activities to enhance the student experience.

Qualifications

SELECTION CRITERIA

Essential:

  • Proven experience in a customer service or student support role, with a track record of delivering exceptional service.
  • Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines.
  • Strong interpersonal, written, and verbal communication abilities, enabling effective interaction with diverse stakeholders.
  • Proficiency in Microsoft Office suite.
  • Ability to work collaboratively in a team environment and adapt to changing demands and priorities.
  • Strong problem-solving and decision-making skills, with a commitment to finding practical solutions.
  • Attention to detail and commitment to accuracy in all aspects of work.

Desirable:

  • Degree or equivalent (preferred)
  • Work experience in higher education sector
