Responsibilities

Place Focused

  • Oversee daily operations, ensuring a professional, well-maintained, and efficient workplace including monitoring and managing supply needs at each office and compliance with workplace health and safety standards.
  • Oversee the procurement, distribution and management of hardware from vendors to staff and assist staff troubleshooting issues with hardware.
  • Manage relationships with vendors, particularly those associated with each office, overseeing procurement processes to ensure cost-effective and high-quality services.
  • Manage file transfers with other legal providers ensuring incoming matters are uploaded to Atmos systems accurately and efficiently or outbound files are agreeably prepared before dispatching.
  • Coordinate office moves and assist with office set up at each site nationally which may require occasional interstate travel.

Engagement Focused

  • Coordinate the social committee and initiate activities such as internal events and engagement programs that enhance employee experience and build office culture. Ensure that social activities are within the allocated entertainment budget.
  • Work collaboratively with HR team to ensure new employees are seamlessly integrated into the workplace by coordinating IT setups, office allocations, and orientation programs.
  • Act as a key point of contact for employees regarding workplace experience and operational matters.
  • Assist in internal communications initiatives to foster a connected and engaged workforce.

Additional Tasks

  • Support the COO in the active facilitation of Atmos Corporate activities.
  • Work collaboratively with the Chief of Staff and Office of the Executive Team in executing operational strategies, policies, and initiatives that enhance the efficiency and effectiveness of the firm's operations.
  • Ad hoc support to the wider team with operational needs. Including document preparation and printing.
  • Ad hoc assistance with meeting room bookings including set up tech requirements and catering arrangements.

Key skills and experience

  • Experience in office management, workplace operations, or administrative support in a professional services or corporate environment.
  • Strong organisational and multitasking skills, with the ability to manage competing priorities effectively.
  • Demonstrated ability to troubleshoot technical and operational issues efficiently.
  • Excellent interpersonal and communication skills, with a strong ability to engage and collaborate with employees at all levels.
  • Experience in event coordination, stakeholder engagement, and employee experience initiatives.
  • High attention to detail and a proactive, solutions-focused approach to managing workplace challenges.
  • Ability to work independently while supporting broader operational and strategic initiatives.
  • Experience with vendor and facilities management, including contract negotiations and procurement.
  • Proficiency in Microsoft Office and workplace management tools.
  • Understanding of workplace health and safety compliance is desirable.
  • Team player who can work flexibly to meet business needs.
