Job Purpose
We are in the business of experiences. And there is no experience more important than our own agency space and the great people who work in it. This role is vital to ensure we have an environment where we can do our best work, collaborate and have fun along the way. This position is responsible for performing office management and administrative functions and driving our broader cultural/ social initiatives.
RESPONSIBILITIES
Employee Experience
- Manage all Employee & Contractor lifecycle activities, including new employee/contractor setups, inductions, provision of hardware & offboarding. This includes but not limited to:
- IT onboarding / offboarding processes, coordinating with local and US support teams as needed
- Platform onboarding & training; Work book, Workday, G Suite, Uber Weel, Locale etc, coordinating with local stakeholders and US support teams as needed
- Coordinate with Seed HR (external consultants) to support on internal HR administration tasks; employee letters, staff exit & staff surveys etc
- Training- Work with the Leadership Team to develop an internal training programme, coordinating with US support teams as needed. Manage lunch & learn programme that includes setting up calendar invites and preparing for events in Sydney office & Melbourne/ NZ office remotely
- Manage Rolodex calendar for anniversary and birthday dates & update the All Agency Kick Off meetings
- Promotion and implementation of the Wellbeing program
- Planning, delivery and budget tracking for internal social events. Participate in the DEIB, Committee, acting as the conduit between the committee and the Executive Leadership
- Manage GPJ Slack and Gmail accounts, updating with new/ leaving employees and setting up any group channels or accounts.
Resource Management
- Support the Head of Integrated Production & Group Creative Director with National Resourcing management
- Ensure the Project Leads have their tasking up to date in Workbook, ahead of National WIP meetings. Identify gaps or overlaps in resources, then work with HOIP & GCD to determine alternative resource allocations or additional resources required. Support outreach to identified external resources by HOIP/ GCD, to get further information from potential candidate & set up meetings
- Support Leadership Team on recruitment; posting ads, tracking applications & setting up interviews
Systems Management
Monitor and ensure the accuracy of data during ongoing maintenance of employee settings, compliance and administration of systems in collaboration with HR & Finance, including;
- Workbook
- Intranet updates and maintenance
- Production tools including digital credit card, travel portal, uber accounts
- Asset management, provision (IT and FOB) and tracking
Office Management
- Keep the office ticking over and looking great- monitor office expenditures, track and order office/pantry supplies, manage phone lines, sort and distribute incoming mail/packages, keep collaboration spaces tidy
- Manage the National weekly Kick off deck and set up and monthly Employee Recognition awards (Mini Georgies, our internal Awards programme)
- Day-to-day troubleshooting on IT/ Tech needs. Escalate to local IT or US teams for support, as required
- Property maintenance and management including liaising with external contractors and suppliers, cleaning contractors, lift technicians, plumbers, electricians, the landlord etc.
- Coordinate and participate in office space planning, maintenance, and renovations when necessary
- Updating and maintaining imagery in common areas including client welcomes, hype reels etc
- Manage supplier presentation schedules. Greet and set up office to support presentations
- Manage office documentation including organisation charts, evacuation plans, WHS / OH&S standards and Policies etc. Monitor WHS requirements and compliance, including oversight of incident reporting and first aid training, acting as Chief Fire Warden
PROFESSIONAL EXPERIENCE
Capabilities & Experience
- 5+ years experience in a similar employee & office support role, in a professional services or agency environment preferred
- A high level of confidentiality is essential, with experience in handling this type of information.
- Intermediate experience with Google suite.
- Strong administrative skills.

- Strong communication skills, both written and verbal.
