Executive Assistant / Reception & Admin Support (Part-Time)

Position Type: Part-time, approx. 20 hours per week (with potential to increase in the future)

Schedule: Saturdays onsite (9:00 AM – 5:00 PM) + flexible hours during the week (remote/onsite as needed)

Pay: $25 per hour (paid via payroll or cash if preferred)

About the Role

We are looking for a highly organised and adaptable Executive Assistant to support the day-to-day operations of our hospitality and wellness businesses. This role is a blend of reception, administration, and executive assistant duties — ideal for someone who enjoys variety, takes initiative, and can balance customer-facing responsibilities with business administration.

Key Responsibilities

Reception & Customer Service

  • Act as the first point of contact for clients and guests.
  • Manage the spa reception desk on Saturdays (9 AM – 5 PM), greeting clients and ensuring a welcoming experience.
  • Handle restaurant phone bookings: answering calls, responding to text messages, and inputting reservations into the system.

Administration & Business Operations

  • Assist with payroll, timesheets, and staff scheduling.
  • Support financial administration including expense tracking, invoicing, and reconciliations.
  • Maintain accurate records, documentation, and filing systems.
  • Assist with staff onboarding documentation and HR-related admin.
  • Provide ad hoc support for new business ventures and projects.

Executive Assistant Duties

  • Provide direct support to the business owner in day-to-day operations.
  • Coordinate and attend meetings (online and onsite) — preparing agendas, taking notes, and following up on action items.
  • Assist with diary and task management.
  • Support general business management, from marketing and reporting to supplier coordination.

Requirements

  • Strong organisational and multitasking skills.
  • Excellent communication skills (written and verbal).
  • Professional, proactive, and solution-oriented approach.
  • Tech-savvy with experience in booking systems, spreadsheets, and online meeting tools.
  • Ability to work independently and manage competing priorities.
  • Previous experience in administration, executive assistance, or hospitality/wellness industry is highly desirable.
