
Office All-Rounder – Wholesale Support – Japanese

Cha Haus Pty Ltd. is a Melbourne-based importer and distributor of premium Japanese teas – including matcha, hojicha, and sencha – as well as tea-based chocolate products. We sell online, supply to cafes and retailers across Australia, and take part in Japanese cultural events and markets.
As a small but growing business, we value quality, proactivity, and cultural connection. We're now looking for a versatile and reliable Office All-Rounder to support the day-to-day running of our business and help bring structure and foresight to our operations.
This is a diverse, fast-paced role where you'll work across many areas of the business – from admin and logistics to team coordination and supplier communication. It could be a perfect fit if you thrive on variety, can take initiative, and enjoy solving problems before they arise.
About the Role
You'll work directly with the company director and support a small team, helping to keep things running smoothly across the office and operations.
You'll be the go-to person for many different tasks, including wholesale client support, supplier coordination, internal systems, and occasional light logistics.
Experience or strong interest in supply chain/logistics is highly regarded – and if you're eager to learn, we're happy to support your development in this area.
Familiarity with basic accounting, bookkeeping, or payroll (e.g., using Xero) is a bonus.
There's room to grow if you're also curious about sales, marketing, and customer development.
Key Responsibilities
- General admin: emails, scheduling, invoicing, data entry
- Wholesale client support: handling inquiries, coordinating orders, follow-ups
- Stock tracking and supply coordination (local and Japan-based)
- Internal coordination: preparing sales kits, assigning tasks to part-time team
- Maintaining documentation via Google Workspace, Shopify, and Xero
- Drafting newsletters, product info sheets, and event materials
- Occasional warehouse pickups, deliveries, and off-site support
- Proactively identifying and implementing process improvements
- (Optional) Supporting basic accounting/payroll or sales-related initiatives
About You
We're looking for someone who:
- Has experience coordinating small business operations or office support
- Communicates clearly and professionally in both English and Japanese
- Has knowledge or strong interest in supply chain/logistics, or is willing to learn
- Has experience with basic accounting, bookkeeping, or payroll (Xero a plus, though not required)
- Is proactive, organised, and solutions-focused
- Thrives on being the "go-to" person for various office matters
- Has an interest in Japanese tea, food, and culture (matcha knowledge a bonus)
- Holds a valid driver's license – car ownership is a plus (free parking available)
- Is comfortable lifting or moving small to moderate-size stock items when needed
- Is looking for a long-term role and wants to grow with a mission-driven company
