About your new role
As the Finance, Systems & Data Operations Support at the Australian Pharmaceutical Publishing Company Pty Ltd (APPco), you will play a key role in supporting the General Manager Operations (GMO) to drive day-to-day operational outcomes and contribute to continuous improvement initiatives that enhance operational efficiency across the business.
This is a part-time, hands on role ideal for someone who thrives in a small, collaborative team and is confident using technology to complete operational tasks. Your adaptability, initiative, and problem-solving skills will be key to ensuring smooth business operations where everyone contributes to shared success.
What you'll be doing

Accounts Payable Support: Responsible for the daily administration of the accounts payable/ spend management system (Weel). Job share/shadow all accounts payable processes, including uploading invoices into the system.

Accounts Receivable Support: Responsible for the daily administration of accounts receivable in the sales and production system (Ad Orbit). Job share/shadow all accounts receivable processes, including raising invoices, sending statements, allocating remittances, and performing EOM reconciliations between Ad Orbit and Xero. Ensure purchase orders are updated and accurate. Follow up on overdue payments and assist the sales and production teams billing queries.

Workflow Documentation: Collaborate with the GMO to maintain and update all operational work instructions and workflows.

Payroll Support: Shadow the monthly payroll preparation process.

Month-End Reporting: Assist the GMO with the month-end reporting process and reconciliations.

Budgeting and Forecasting: Support the GMO with the annual budget preparation, including year-on-year analysis and sales forecasting.

Software Implementation Projects: Contribute to new software rollouts as assigned by the GMO.

Data Administration: Conduct monthly data reconciliations between the parent and subsidiary databases. Share cleaned data with the Web Manager for updates to the WordPress CMS.

Sales Administration: Handle adhoc requests from the sales and production team. Extract data from Google Analytics to prepare campaign reports for advertisers (eg: open, click-through rates).

Database Maintenance: Proactively review and maintain website and sales territory databases to ensure data integrity and compliance with territory rules.

Systems & Process Improvement: Work closely with the GMO to continuously improve systems and processes across all platforms. Proactively recommend and implement approved system improvements.

Shadow the Client Service Officer: Assist with administrative tasks during periods of leave or when capacity allows during business-as-usual operations.
What we're looking for
-
Minimum five years of experience in finance, including accounts payable, accounts receivable, payroll, month- end reconciliations and reporting, assistance with preparation of the management accounts, budgeting, data and systems administration.

Strong project management and problem solving skills with the ability to juggle multiple priorities effectively.

Advanced Excel skills with demonstrated proficiency in pivot tables, IF statements, VLOOKUP and data manipulation for reporting. . Be able to use Excel formulas to manipulate and wash datasets. Also use Excel to design internal sales and finance reports.

Experience with Xero and comfort navigating cloud-based finance software for invoicing, reconciliations, and reporting.

Strong systems orientation and willingness to adopt and adapt to new technologies.

Exceptional attention to detail and ability to work independently.

Strong communication and interpersonal skills with the ability to collaborate across teams.

Solid understanding of Profit &Loss statements and balance sheet.

Passion for financial analysis, including profitability and year-on-year performance comparisons.

Experience with Microsoft Office 365, including Teams, SharePoint, Word, SaaS CRMs, Business Intelligence Dashboards and WordPress CMS.

Experience with Google Analytics data extraction is desirable.

Relevant qualifications in one of the following-(Certificate, Diploma or degree)-in Accounting, Finance, Commerce, Bookkeeping, Business Operations, Data Analytics or Data Science is essential.
