The office of Senator Jacqui Lambie is seeking applications for a full-time ongoing Office Manager/Senior Electorate Officer, based in the Parliamentarian's Electorate Office in Burnie, Tasmania.

Position Overview

The Office Manager/Senior Electorate Officer would manage the Electorate Office team, budgets and operations. The Office Manager would report directly to the Senior Adviser and Senator and work closely with all staff.

The key objective of the role is to manage and oversee the running of the Electorate Office, operational and personnel elements of the Office and manage the Senator's travel, diary and expenses.

This position would suit a highly organised person with management and administrative experience.

Key duties

  • Managing the Electorate Office in Burnie including overseeing of office correspondence, equipment, resources and security protocols.
  • Ensuring the office provides a timely service to constituent and community organisations.
  • Managing the Senator's office budget and office expenses and developing and executing a strategy for the best use of resources.
  • Managing Electorate Office staff including contracts, onboarding and the staffing budget.
  • Managing the completion of meeting briefs, casework and constituent enquiries.
  • Liaising with internal & external stakeholders, vendors, suppliers, and Department contacts.
  • Participating in training opportunities.
  • Other duties as required.

The ideal applicant should possess the following skills and experience:

  • Demonstrated experience as an office manager or senior administrative officer in a demanding public, non-profit or private sector environment.
  • Strong budget management skills and willingness to learn parliamentary expenses management.
  • Ability to manage staff tasks and needs.
  • Strong verbal and written communication skills with meticulous attention to detail.
  • Outstanding organisational and time management skills, with the ability to prioritise and manage multiple and competing work tasks to deliver to agreed deadlines.
  • A customer service focus with a pleasant, positive, and respectful demeanour when engaging with office staff and constituents.
  • Excellent computer skills including experience working with Microsoft 365 and Excel.
  • An understanding of the Australia's system of government and parliamentary processes.
  • High levels of professionalism, confidentiality, and discretion while operating under limited supervision in a team environment.

Employment conditions

This position is offered under the Members of Parliament (Staff) Act 1984 and the terms and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement which include:

  • A commencing salary between $76,910 and $89,793 will be negotiated depending on experience and relevant skills.
  • An additional electorate staff allowance (ESA) may be considered in recognition of, and as compensation for, reasonable additional hours of work.
  • Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).
  • An employer superannuation contribution of 15.4% will be payable.

  • The successful applicant may be required to undergo a National Policy History Check.
  • Staff may be subject to automatic cessation triggers in accordance with Section 14 of the MOP(S) Act.
